CIQS is the premier professional association that sets the highest standard for construction and infrastructure economics in Canada. Designated Professional Quantity Surveyors (PQS) and Construction Estimator Certified (CEC) professionals counsel building owners, developers, designers and contractors at every stage of the design, procurement and construction process to help ensure a return on investment is delivered.

CIQS represents over 2,300 members from across Canada and abroad.

We are currently seeking to fill a Membership Coordinator position within the Membership and Certification Department at our Head Office in Markham, Ontario. This position will be full-time in office.

Key Duties & Responsibilities



o Assist and provide administrative support to the Membership Manager and/or designate

o Research, compose, and type various internal and external correspondence, reports, and emails

o Respond to membership inquiries

o Maintain an effective filing system (hard copy and electronic files)

o General clerical duties

o Review and process student applications

Issue acceptance emails, requests for further documentation, and/or refusal of membership
o Review and process membership applications

Initial review prior to assessment ensuring all required documentation is included in application Requests for further information Translation of French applications Follow up with open applications Weekly submission to assessment committee Assist in generation of acceptance letters
o Process reinstatements

o Distribute new student and member packages

o Assist in database maintenance

Close abandoned applications Manage duplicates Member profile updates
o Fulfill e-store orders

o Textbook inventory management

o Generate C7s

o Generate certificates and diplomas

o Assist Director of Certification & Membership with Construction Economist coordination

o Assist Membership Manager with membership renewals

o Staff liaison for YQS Committee

o Staff liaison for Student Engagement Committee

o Management of Open Water platform

Assets/Qualifications



Relevant education and 1-2 years of experience is preferred. Bilingual candidates are highly encouraged to apply, fluent in English and French. Strong communication skills, both verbal and written, are required. Proven MS Office proficiency (Word, Excel, Powerpoint) required. Proficiency with Zoom Meetings and Zoom Webinar. Experience with Association Management Systems (ex. iMIS) and Learning Management Systems (ex. TopClass). Strong organizational and and time management skills. Ability to work independently and maintain the office when other members of staff are involved in meetings or away from the office. Proven record in ensuring confidentiality, integrity, professionalism, and diplomacy always. Proven well-developed customer service focus. Demonstrated ability to work both independently and and collaboratively within a small team environment. Excellent critical thinking skills with the ability to think independently to proactively anticipate the needs of the senior management team. Must demonstrate high initiative and efficiency with accurate attention to detail. Demonstrated good attendance record with the ability to maintain this same standard
