The incumbent will be responsible for providing excellent patient care by answering all incoming telephone calls from patients, booking appointments, taking messages including prescription renewals, recording verbal reports, and billing patients and accepting payments for services provided. The position will also provide follow-up on any messages related to the patients as instructed by physicians. The incumbent may be required to facilitate patient flow by escorting patients to exam rooms; and booking referrals or tests.
Duties and Responsibilities
:
Act as liaison between physicians and patients
Answer phones and direct calls expediently
Book appointments using electronic medical records system maximizing available time allotments
Greet patients upon their arrival; update patient information
Confirm accuracy of Health Card information for every patient
Record clear, concise and detailed messages
Call back repeat prescription renewals as instructed by physicians
Invoice patients for services provided and obtain payment for same
Follow all privacy protocols and maintain confidentiality of patient information
Notify nurses of required duties i.e. injections to be given, telephone calls
Record or obtain test results as requested by physician or nurse
Call patients with INR changes
Prepare day list(s) for physician(s) and nurse(s)
Maintain security of reception and waiting room area, i.e. closing and locking doors, shutting down computers, closing windows, setting security system
Train and supervise new reception staff
Assist with any other task deemed necessary for the efficient operation of the medical clinic
Qualifications and Relevant Experience:
Education: Medical Office Admin diploma or related education
Experience: Minimum of six months' experience working with computer programs/systems to include keyboarding; experience with multi-line telephones, fax machines and photocopiers.
Skills: Excellent interpersonal skills; minimum keyboarding rate of 50 w.p.m.; basic mathematical skills; excellent oral and written communication skills.
Knowledge: Knowledge of medical and pharmaceutical terminology is beneficial. Basic first aid knowledge and CPR is beneficial.
Approaches/Qualities: Customer-service oriented; flexible/adaptable; organized; ability to manage a variety of tasks simultaneously in a fast-paced environment; ability to work without direct supervision; ability to work effectively as part of a team; ability to handle pressure.
