We are seeking a dedicated and organized Medical Receptionist to join our healthcare team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing various administrative tasks. This role requires a strong understanding of medical terminology and experience with electronic medical records systems. The Medical Receptionist will play a crucial role in ensuring the smooth operation of our front desk and overall patient experience.
Duties
Greet patients and visitors warmly, ensuring a positive first impression of the practice.
Manage multi-line phone systems to answer calls, schedule appointments, and respond to inquiries.
Maintain patient records accurately using electronic medical records (EMR) systems such as universal software.
Verify patient insurance information and handle billing inquiries as needed.
Coordinate with healthcare providers to ensure seamless patient flow and communication.
Assist in maintaining the cleanliness and organization of the front desk area.
Handle administrative tasks such as filing, faxing, and data entry to support office operations.
Ensure compliance with HIPAA regulations regarding patient confidentiality.
Qualifications
Previous experience as a Medical Receptionist or in a similar administrative role within a medical or dental office is preferred.
Proficient in MS Office (Word, Excel, Outlook) and clinic management software (e.g., Jane, Telus Health, Provider Connect, or similar).
Knowledge of electronic medical records (EMR) systems and billing portals (Sun Life, Green Shield, Manulife, etc.).
Communication Skills:
Excellent verbal and written communication skills for interacting with patients, therapists, and insurance adjusters.
Organization & Multitasking:
Strong ability to manage appointments, maintain records, and handle multiple priorities in a busy clinic environment.
Customer Service:
Friendly, professional, and patient-centered approach when greeting clients and addressing inquiries.
Knowledge:
Familiar with OHIP, WSIB, MVA (OCF forms), and extended health insurance billing processes.
Teamwork:
Ability to work collaboratively with physiotherapists, massage therapists, chiropractors, and other clinic staff.
Confidentiality:
Strong understanding of patient privacy and confidentiality requirements (PHIPA compliance).
