We are seeking a dedicated and organized Medical Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical office, providing exceptional support to both patients and healthcare professionals. This position requires a strong understanding of medical terminology, proficiency in electronic medical records, and excellent communication skills.

Duties



Greet patients and visitors in a friendly and professional manner at the front desk. Manage phone systems, answering calls promptly and directing them to the appropriate personnel. Schedule appointments and maintain an organized calendar for healthcare providers. Assist with patient check-in and check-out processes, ensuring all necessary documentation is completed accurately. Maintain electronic medical records (EMR) using systems such as Epic or Dentrix, ensuring confidentiality and compliance with regulations. Collect patient information, including medical history and insurance details, while explaining office policies clearly. Support administrative tasks such as filing, data entry, and managing office supplies. Communicate effectively with patients regarding their appointments, treatment plans, and follow-up care instructions. Collaborate with healthcare staff to ensure efficient patient flow and high-quality care delivery. Develop, coordinate, and manage staff schedules to ensure adequate coverage. Monitor and track staff attendance, leaves, and punctuality. Handle shift changes, replacements, and schedule adjustments as needed. Maintain accurate attendance and scheduling records. Ensure compliance with workplace policies and procedures.

Qualifications



Minimum

5 years of experience

in a medical office or dental office setting is required. Proficiency in electronic medical records systems; familiarity with Epic or Dentrix is a plus. Strong understanding of medical terminology and administrative procedures related to healthcare. Excellent organizational skills with attention to detail in managing multiple tasks simultaneously. Ability to communicate clearly and compassionately with patients from diverse backgrounds. Experience with front desk operations, including scheduling appointments and handling phone systems. Ability to work effectively both independently and as part of a team in a fast-paced environment.
