The

MDS Coordinator

plays a critical role in ensuring the smooth and accurate operation of Tribe's Medical Device Services (MDS) Department at our new warehouse in

Toronto, ON.

Working closely with logistics, billings, and compliance, this role provides essential operational support to ensure that loaned and consigned medical equipment is delivered, tracked, and returned in alignment with system records - while prioritizing client needs. This role is instrumental in supporting the National Sales Team through the organized coordination of equipment bookings, with a focus on optimizing schedules, resolving timing conflicts, and assisting with billing processes, repairs, and returns - ensuring we delivering on time, every time. This role upholds Tribe's mission to "Put Patient Outcomes First... In Everything We Do," by ensuring medical equipment is available where and when it's needed to support successful surgical outcomes.

Role is based in

Toronto, ON

with in-office working environment. Preference will be provided to those local to the area. Estimated start date:

August 2025

or when successful candidate is found. This is a new full-time, permanent position. The salary range for this role is:

$55,000 - $65,000 CAD

This role will be overseen by the

Director of Operations

and work day-to-day with the

Manager, MDS.


Day-to-day responsibilities:



Complete MDS billings for the department on a timely basis to ensuring a positive contribution to the bottom line and sales success of the company. Take inventory of all missing parts in loaner kits, check that all parts are in good condition based on industry standards, and report finds to appropriate staff as directed. Replace parts and inventory as required. Coordinate any logistics, approvals, and financial aspects involved in shipping equipment (LTL, same-day shipments, others). Coordinate logistics of making equipment available directly from vendor when internal stock is not available for Loaner Kits. Trend equipment usage and report to management optimal avenues of utilization for customers. Train incoming employees in all aspects of the MDS Coordinator role in conjunction with the Manager. Work with Arthrex Logistics Centre Canada to ensure Tribe has appropriate stock levels for items needed for loaner kits. Maintain control over the inventory present in Loaner Kits, as well as all other instrumentation/equipment inventory present in the Department. Update instruments and implants found in kits as directed to by the Manager. Assist with field inventory returns and handle any unauthorized returns as directed by management. Investigate and reconcile in ERP system any inventory discrepancies as they relate to inventory found in loaner kits. Monitor and take appropriate action on expired and short-dated inventory in loaner kits as directed by management monthly. Create and maintain comprehensive listings of all loaner kits. Engage and develop special projects for departmental improvement collectively with the Manager. Assist with tracking shipments as required. Ensure that loaner warehouse space is kept clean and organized. Other duties as assigned.

This role does require regular lifting of surgical products and other items as required, you may be required to lift various items of up to 80lbs.

Motion Parameters



This role is within an in-office working environment where you will be expected to stand for 5-8 hours at a time depending on structure of that day.

Psychological Demands



This role includes the ability to make quick decisions, attention to detail, multi-task, problem solve and interpret large amounts of information quickly.

Candidate Profile:



Post-secondary diploma or degree is required. 2 years experience in warehouse or logistics in medical device or healthcare is preferred and considered an asset. Valid Driver's licence and access to reliable vehicle. Working knowledge of Microsoft Office products, such as Outlook, Powerpoint, Excel and Word. Previous experience working with shipping/receiving systems is preferred and considered an asset. Comfortable working in an in-office environment. Strong ability to analyze complex challenges and make the best decision on behalf of Tribe. Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external teams, clients and stakeholders.
