THE POSITION

Provides support to the Medical Affairs Education and Operations Manager, Therapeutic Area Directors (TAD), Medical Advisors (SA), Medical Science Liaison's (MSL's), Regional Medical Specialists (RMS's), and Medical Education Managers (MEM's) within the Medical Affairs team. Provides coordination and logistics support for internal and external activities of the Medical Affairs team.

Responsibilities

  • Provide administrative support to the TAD, MA, MSLs and MECMs, assisting with regular daily/monthly activities and assigned projects.
  • Collaborate with internal team members to coordinate and organize activities and events including scientific exchange meetings, medical education programs, conferences, consultancy activities and other meetings related to the assigned therapeutic area. This includes logistics management, communication with internal and external stakeholders, and acting as on-site coordinator where applicable.
  • Manage the internal processing of purchase orders, monitor, and provide oversight budget tracking for the assigned therapeutic areas, including the execution of honoraria and approved funding requests.
  • Opinion Leader and Vendor support including the timely processing of requests for Medical related materials such as slide decks, meeting agendas, and formulary binders. Accurate and timely payment of honorarium, PO's and processing of Grant requests. Timely recording of processed requests, and management of Medical Affairs systems.
  • Support the onboarding process for new Medical Affairs team members. Collaborate with the BI Coordinator team to develop, streamline, and improve internal and external processes; aligned with global and local system implementation (example: GBS, SAP, Funding portal).
  • Supports the triage and first pass review of the working level assessment for external stakeholders to ensure Fair Market Value (FMV) and renumeration for services provided.
  • Collaborate with internal and external stakeholders related to the management of the Special Access Program (SAP).
Requirements
  • University Degree, post-secondary education or equivalent work experience
  • Advanced administrative skills attained through post-secondary education combined with a minimum of three years business experience at a senior/administrative level.
  • Exceptional organizational, interpersonal (both internal and external) written and oral communication and negotiating skills combined with excellent time/project management skills.
  • PC software, including MS Word, Excel and Power point, MS Teams, Sharepoint, DocuSign
  • High degree of confidentiality, attention to detail and prioritizing is required.
  • Thorough knowledge and understanding of company guidelines and processes.
  • Bilingualism is an asset
