As an Administrative Assistant for Arthritis & Injury Care Physicians, you will report to the Sport Medicine Practice Manager and be the front-line representative of our organization, ensuring a welcoming and efficient experience for patients and visitors.

Primary Duties


As an

Administrative Assistant for Arthritis & Injury Care Physicians

, your responsibilities will include:

Greeting and assisting patients, clients, co-workers, and physicians as the first point of contact. Efficiently managing and tracking incoming referrals for physicians. Supporting physician patient management, including consultation letters, reports, confirmations, dictations, requisition requests, scheduling, and other assigned tasks. Scheduling consultations and follow-up appointments, ensuring physician schedules are booked at least two weeks in advance. Answering and directing incoming calls using a multi-line phone system, including a physical phone, headset, and softphone. Assisting Arthritis & Injury Care Specialists (non-physicians) with billing patients, insurance companies, and third parties for products and services as needed. Utilizing company software for scheduling, patient information management, invoicing, and related tasks. Performing general office duties such as filing, scanning, and updating spreadsheets. Providing administrative support to all team members, including administrative assistants, bracing specialists, physicians, physiotherapists, and others to ensure smooth daily operations. Preparing and managing medical documentation, including physician correspondence and patient records. Coordinating and processing medical referrals, ensuring timely follow-ups and proper documentation. Handling confidential patient information with discretion and in compliance with privacy regulations. Assisting with insurance claims and processing documentation for medical billing purposes. Ensuring the waiting area and office remain organized, clean, and stocked with necessary supplies.

Requirements



Minimum

1 year of experience

in a medical office setting.

Accuro EMR experience

is required.

MedAccess EMR experience

is an asset.

Jane App experience

is an asset. Proficiency in

Microsoft Office 365

is required. Medical Terminology is an asset. Third Party Insurance Billing is an asset.

Locations:

Downtown Halifax (Main Base), Dartmouth (as needed), Clayton Park (as needed)
