Doyen Engineering Ltd. is seeking a proactive and detail-oriented Materials Coordinator to support our expanding operations. This is an intermediate-level role ideal for candidates with experience in materials planning, warehousing, and procurement coordination, particularly within a technical or industrial setting.

As a Materials Coordinator, you will be responsible for overseeing the flow of materials from purchase through delivery, storage, and distribution. You'll work closely with internal teams, end-users, OEM customers, and external suppliers, including international vendors, to ensure timely availability of materials for projects. This role includes managing warehouse operations, maintaining accurate inventory levels, coordinating shipments, and supporting overall supply chain efficiency.

This position offers valuable hands-on experience in warehouse management, logistics coordination, vendor relations, and supply chain optimization.

Key Responsibilities:



Process and track material requests and orders, ensuring accurate fulfillment and timely communication of stock availability or delays. Purchase materials, equipment, and supplies to support technicians and project requirements. Utilize ERP/MRP systems for purchasing, inventory management, and order tracking. Oversee warehouse operations, including receiving, stocking, tagging, labeling, and issuing materials. Prepare and stage materials, tools, and equipment for technicians to ensure project readiness. Perform regular cycle counts and reconcile physical inventory with system records. Monitor inventory levels and execute timely reorders based on stock and project requirements. Coordinate inbound and outbound shipments, including packaging, documentation, customs clearance, and freight tracking. Maintain warehouse organization and cleanliness, ensuring a safe, efficient, and well-structured work environment. Support and implement warehouse improvement initiatives, focusing on workflow efficiency, space utilization, and best practices. Manage RMAs (Return Merchandise Authorizations) and follow through with vendors on replacements or credits. Track open orders, expedite delayed items, and update internal teams on delivery risks. Build and maintain strong relationships with domestic and international vendors and manufacturers. Support project timelines and deliverables by working closely with the Electrical Manager Lead, Engineers, Technologists, and Contract Managers to ensure critical materials are available. Ensure vendor performance aligns with Service Level Agreements (SLAs) and contract terms. Maintain accurate records of material transactions, warehouse activities, and procurement documentation.

Qualifications:

High school diploma required; Bachelor's degree or Diploma in Technology, Business Management, Business Administration, or a related field preferred. Relevant certifications, such as CPSM, SMT, SCMA, or CPP, are a plus. Minimum of 2 years of experience in procurement or purchasing within the construction industry, with a proven track record in managing procurement and supplier relationships. At least 2 years of experience in sales or sales administration. Proficient in Microsoft Office Suite and ERP/MRP systems. Strong multitasking, teamwork, and communication skills. Detail-oriented with the ability to prospect and market to new and existing accounts. Excellent problem-solving skills with the ability to work independently with minimal supervision.
