The Word On The Street Toronto (WOTS) is seeking a planner, problem solver, and customer support specialist to join our small but mighty team. The Marketplace Coordinator will coordinate exhibitor relations and assist with marketplace production for our 2024 annual festival. This position reports to the Project Manager and works in collaboration with WOTS staff to develop short- and long-term exhibitor strategies for The Word On The Street festival, which attracts thousands to Toronto each year for Canada\xe2\x80\x99s largest free-to-attend book fair. The ideal candidate for this role is someone who is meticulous in their recordkeeping, considerate in their communications, and who finds satisfaction in managing logistics. We are looking for candidates who can work 3-4 hours/day, 4 days a week. This position is January through October, with the possibility for continuation. The compensation for this position is $1,350 per month (i.e., $22.50 / hr). Work is remote, with the exception of needing to be present in Toronto during the festival weekend itself. Extended hours, including evening and weekend work, will be required in the lead-up to and execution of our annual festival, from July to September. A performance review will be conducted after the conclusion of the annual festival.

This position is slated to start in early January, 2024.

Roles and responsibilities

Develop sales and communications materials for prospective exhibitors and advertisers, including registration and info packages and electronic newsletters

Reach out to prospective exhibitors, respond to inquiries and registrations, update contact database, and manage follow-up communications including confirmations, invoicing, and logistics packages

Coordinate exhibitor and advertising sales, engaging in negotiation and dispute resolution as necessary with current and potential clients (with assistance from the Development Consultant)

Assign exhibitors to booth locations, ensuring optimal booth placement to achieve internal goals while fulfilling the expectations of sponsors, partners, and exhibitors

Provide regular sales reports and exhibitor marketplace updates to Project Manager and WOTS staff

Provide complete post-event reports and communications to funders and other stakeholders

Participate in meetings with The City of Toronto, marketplace suppliers, and other stakeholders as needed to ensure the safe and effective execution of the marketplace within the annual festival * Support the coordination of annual volunteer program including recruitment, screening, training, scheduling, and communications for exhibitor relations and logistics volunteers

Requirements:

Relevant Experience

Passion for Canadian and Indigenous books, magazines, and other literature and familiarity with the Canadian publishing industry

Relevant education and/or professional experience in event production, customer service, and related fields

Organized self-starter with an ability to set priorities, develop a work schedule, monitor progress towards goals, revise plans, and document the process and results

Clear written and verbal communication skills, including experience responding to stakeholders in a prompt and professional manner. Experience in sales is an asset

Strong professional writing, copy editing, and proofreading skills

Ability to monitor activities and proactively address issues to mitigate risks

Spirited team player capable of interacting effectively with a wide range of individuals

Ability to listen openly, adjust to feedback, and respond with compassion

Ability to compile event results into succinct, informative reports, and recommend adjustments in response to feedback

Interest in working remotely with a small, dedicated team (must be able to travel to Toronto for events)

Basic web management skills (WordPress) are an asset

Written and oral proficiency in French or additional languages is an asset
