Marketing Administrative Assistant (hybrid)

Job Description

Sotheby's International Realty Canada is looking for a detail-oriented and tech-savvy Marketing Administrative Assistant with a friendly and client-service oriented personality to support our agents and brokers in offices in Ontario. You will collaborate with a talented, in-house graphic design and marketing team to deliver branded templated work and various other marketing support, tasks and coordination.

The successful candidate will have a minimum of 1 year of experience in administration and customer service or in marketing, preferably in a corporate environment. Real estate brokerage experience is an asset, but not essential if you have a genuine interest in the industry.

RESPONSIBILITIES



Based in our Toronto office, your detailed responsibilities are as follows:

Monitor the marketing team inbox

for general inquiries, ensuring prompt

acknowledgement

and

assignment

to the appropriate team members as needed.

? Coordinate the weekly preparation, delivery and billing coordination of print and digital advertising materials

? Coordinate and prepare templated marketing collateral, including listing presentations and buyer/seller guides, property brochures, postcards, signage, and other marketing pieces via our online branded template platform

? Coordinate print marketing material production with our third-party vendors

? Act as a liaison between our in-house marketing team and real estate agents for receipt and distribution of marketing materials, while maintaining the highest level of client service

? Coordinate the reporting of clients' advertising activities via our dedicated online marketing reporting platform

? Ensure accuracy of all files, proofs, and submissions, including spell-checking and proofreading

? Assist the marketing team by providing agents with timely answers to questions on corporate marketing initiatives, brand standards, and marketing technology

? Distribute invoices to clients for any billable design or printing work

REQUIRED SKILLS/EXPERIENCE



You are a dedicated and empathetic team player who communicates with professionalism, adapts readily to different situations and people, and are genuinely invested in the people/team you work with. You offer:

? Minimum 1 year of experience in marketing or administration and customer service, preferably in a corporate environment

? Strong planning, organizational, and time management skills with the ability to manage multiple projects and competing priorities, and to persist in following up and completing tasks to hit goals and deadlines

? Overall tech-savviness, with the ability to learn, use and support others with technology

?

A keen eye for design, typography, and layout

, demonstrating an interest in creative work and marketing services/collateral.

? The ability to communicate professionally and diplomatically, even in challenging situations, and to resolve conflict when it arises

? Highly proficient in computer and word processing skills, including Microsoft Office (Word, Excel, PowerPoint), MacOS (Keynote), and the ability to quickly adapt to G Suite (Google Suite)

? Knowledge of Project Management software (Monday.com, Asana, Trello, etc.)

? High level of professionalism and discretion

? Desire to contribute to a small office environment, which requires being proactive and willing to roll up sleeves and "get things done"

? Excellent attention to detail and accuracy
