Responsibilities
1. Board-Management Relations
Work closely with the Board to develop a reporting process so everyone is always aware of issues in the
market as well as projects that are been worked on and show the progress on those projects.
Work with the Board and committees to develop and implement plans such as Festivals, and other
events when possible
Communicate respectfully with vendors, board members, sponsors, inspectors, media and other
stakeholders as the face of the VFM. Respond positively to media inquiries about the market in a timely
manner.
Attend Board & all committee meetings as required.
2. Market Rules
Work with the Board to develop market rules and ensure they are reviewed and updated annually.
Ensure all vendors, both new and returning, receive a copy of the rules at the start of the market season.
Either on their first day being juried or direct the vendor to the website.
On a day-to-day basis, interpret the market rules for vendors and others in a consistent and fair manner.
In some cases, this will result in disputes which need to be managed through a dispute process designed
by the Board where documentation is required.
3. Dispute and Emergency Resolution
Responsible for mediating disputes between vendors or between vendors and customers. In some
cases, this will result in disputes which need to be managed through a dispute process designed by the
Board.
Work and develop and implement an emergency readiness plan. Such as a Safety & Sanitation Plan that
are required by both IHA & Work Safe BC.
4. Regulatory Compliance
Have a working knowledge of regulations, both provincial and federal, which impacts all the vendors in
the market.
Ensure vendors are following market operations, rules & policies while attending market.
Responsible for prohibiting vendors from selling their products that do not fall under the Make it, bake it
or Grow It rule.
Work closely with the local public health inspector and other agency inspectors to ensure regulatory
issues are addressed within the market and by the vendors.
Ensure all food vendors have completed the food safety course before allowed to sell at the market.
5. Record Keeping
Collect Daily Fees from Market from Vendors.
Maintain accurate and complete attendance records on vendors throughout the year.
BCAFM Coupon Program: Collect coupons weekly from Vendors. Record coupons in a spreadsheet, write
checks at the end of each month to be issued for the Vendors. File year end reports to the BCAFM on
Coupons.
Work with the Bookkeeper on payroll. Timesheets, Stats and T-4 Slips.
Work to keep Vendor Handbooks, Applications and other paperwork up to date or if changes are
needed.
6. Vendor Recruitment, Selection and Retention
Work with the Jury Selection Committee to determine the optimal market mix of vendors.
Actively recruit vendors to meet the optimal market mix.
Work to ensure all new and returning vendors complete an application form listing their contact and
product information. Look for simpler ways to lessen the paperwork.
Work with the Jury Committee to jury new vendors for the market.
Send out weekly newsletters for vendor on information on issues at market, upcoming events, and other
info.
7. Market Promotions
Communicate respectfully with Vendors, Board members, Customers & Community
Initiate media stories on the market using innovative techniques and social media
Develop and implement promotions & Giveaways for the market.
Ensure signs are correct and displayed prominently in the community. As well within the market
Implement unique events for the market. Example: Birthday. Festivals, Opening Day
Respond to market inquiries in a timely manner.
8. Market Set-Up
Ensure Vendor Booths are allocated each market by emailing out a map before the market day.
Arrive at the market by 5:30 am to set up Market Booth, greet vendors when they arrive to set up their
stalls.
Be visible and accessible to vendors and customers during the market day.
Prior to leaving the market at the end of the market day, ensure the market area is clean and meets all
the requirements laid out in the market rental or lease agreement.
9. Market Weekly/Monthly Routines
Conduct periodic surveys, both formal and informal, to assess customer opinions and satisfaction with
the market. Both at the Market and through online surveys. Receive input from vendors and others to
improve the market.
Maintain accurate and complete records of market activities and vendors throughout the year.
Example: attendance records, market bucks tracking etc.
Prepare Contact list each season of Vendors for the market and keep it updated
Answer and respond to Vendors, Customers, and other emails
Work on social media weekly with Advertising committee.
Work constantly on website to update vendors.
Weekly newsletters. Updating Mailchimp with new vendors
Collect fees at market, process transaction at markets.
Answer questions and enquires on the phone.
Plan and prep Festivals and Events
Farm Visits on new and existing farms
Keep HR Committee up to date on Staff. Staff Evaluations done once a year. Hire staff when needed.
