Job description
The Duncan Farmer Market Manager is responsible for ensuring the smooth and safe operation of the Saturday Market, supervising casual Market staff and for various administrative and financial tasks.
Reports to
: Executive Director and DFM Board
Spring/Summer 7:00am-3:00pm; Fall/Winter 8:00am-3:00pm. (Hours vary due to the seasonal nature of the Market.). Friday evenings for market signage.
Additional Hours:
Additional weekly hours may be worked on-site and from a home office. Total weekly hours: up to 15 hours
Rate of Pay:
Commensurate with experience
Conduct business politely and professionally with vendors, the public, staff, and board
members.
Duties and responsibilities include, but may not be limited to:
Enforcement of market rules and regulations
Vendors re required to adhere to DFM rules and regulations. The Market Manager is responsible for ensuring vendors are complying with market regulations and for resolving issues with non-compliance quickly and effectively as they arise. Specifically:
a. Traffic Control & Safety:
During set up and take down the Market Manager's primary responsibility is to oversee the move in / move out process and ensure safe operations including
Monitor vendor and pedestrian traffic during market setup and teardown, to maintain safe, open aisles for customers and emergency services.
Ensure vendor vehicles follow designated load-in/load-out procedures and time limits.
Step in to address blocked access points or other safety issues as they arise and ensure they are resolved safely
Ensure new vendors know where they are supposed to go and set up correctly
Respond to issues raised by vendors and / or customers and determine appropriate response
b. Market stalls
The MM is responsible for ensuring vendors proper stall setups (e.g., use of tent weights, clear signage, and adherence to health regulations). Issues that directly impact safety (traffic, weights, obstructions) or (food) health risk must be resolved immediately. All issue must be subject to follow up with escalating responses for continued non-compliance up to and including a vendor not being allowed to attend market until the issues is resolved.
Check in on new vendors early in set up to make sure they are locating their stall properly.
Site Management
The Market manager is responsible a variety of site management tasks, including:
Oversee market staff in market set up/tear down
Site maintenance, if required (ie snow removal, incidents on site)
Management of musicians on site
Deal politely and firmly with vendors or customer issues that may arise during the course of the market
Manage market information tent to provide a variety of services
Customer service to market visitors and customers
Collection and reconciliation of vendor fees and depositing money to the bank
Market promotions including redemption of Market Bucks, and assisting in other promotional activities on-site on Saturdays and Special Market Days
Selling and redemption of Gift Certificates
On-site coordination of BCAFM Nutrition Coupon Program
Off site management
The Market Manager prepares weekly stall allocations utilizing computer software (currently Marketwurks) and reflecting changes in attendance for the come week. They create and email out Mailchimp newsletters every Thursday in preparation for the market.
The market manager responds to the market phone calls and emails in a timely manner.
Staff Management and Supervision
The Market Manager is responsible for supervising casual market staff, including Supervise staff to ensure that operations are conducted professionally
Ensuring staff are familiar with market rules and regulations and clean on expectation on their role in enforcing regulations
Train and support staff (eg with checklists and protocols) to conduct their duties including;All aspects of market set up and take down, manage vendor interactions effectively, provide customer service, to market visitors, deal with coupons and gift certificates
Ensure staff time is well utilised throughout the day
Providing performance feedback to ED for staff annual review
Report vendor issues requiring a letter or fine in follow to the Executive Director or action
Report to the board on safety and operations matters requiring Board attention (as needed)
The successful candidate will meet the follow criteria:
Ability to deal effectively with conflict situations, difficult behaviour and remain calm, fair, and assertive under pressure.
Ability to rapidly assess and respond to the needs of a situation, exercise good judgement in dealing with vendor issues and build relationships of respect and trust with vendors
Previous management and supervisory experience, comfortable giving clear directions to staff
Familiarity with food safety requirements for temporary markets
Proficiency with accounting software (Quickbooks), Excel, Google business suite
Physically able to lift/move up to 50 lbs and perform outdoor work in all weather conditions and stand for long periods.
