Summary
The Manager, Student Success and Engagement, has both key strategic and operational roles for program implementation, student communications, recruitment, admissions, and prospective student services for the UBC Faculty of Management (FoM). This includes providing supervision and guidance to staff in the Student Success Office on the development, implementation, execution and assessment for effectiveness priorities, policies, processes and systems for program delivery, student communications, recruitment, admission, and prospective student services designed to attract and enroll prospective students.
This is accomplished through student support systems, including admissions, academic scholarships and awards, student records and graduation requirements, course scheduling and timetabling, advising and mentoring, recruitment and retention, and student development.
This position requires the ability to thrive in a complex, interrelated organizational setting. The position is highly visible to the external community and has continuous contact with university campus partners.
Organizational Status
The position reports directly to the Associate Director, Programs and Curriculum. This position is a primary liaison for student service units across campus, including Enrolment Services, Academic Advising, Admissions and Recruitment, ISI (International Student Initiative), SRA (Student Recruitment & Undergraduate Admissions), Disability Resource Centre, Awards Office, Global Engagement Office, COGS (College of Graduate Studies) and all Okanagan Faculties. The position also acts as a key point of contact between Faculties across campus and may be called upon to represent Faculty or FoM on matters relating to program implementation, recruitment, admissions, awards and appeals.
Work Performed
Manages and enhances the administration of Faculty programs:Leads the ongoing development and evaluation of all recruiting, and admissions services and processes for FOM programs, including developing measures for evaluating effectiveness. Fosters excellence in the development, execution and delivery of admissions and prospective student programs and services. Develops, implements, and assesses effective strategic student communications and recruiting plans that will result in the recruitment and yield of high calibre students, domestically and internationally, to meet UBC and Faculty 's enrolment and retention aims and that will support Faculty's goal of increasing enrolment of underrepresented populations in its programs. Incorporates Faculty's priorities into recommendations for recruitment and yield messaging, events, and other activities. Identifies and addresses gaps in UBC admissions, recruitment, and program implementation system capabilities not suited to innovative programming by researching, proposing and implementing creative solutions, and continually evaluating and revising those solutions, as needed. In close consultation with the Associate Director, Programs and Curriculum, develops, implements, and evaluates the effectiveness of admission policies and procedures to achieve strategic enrolment objectives. Manages admissions appeal process in close collaboration with the Associate Director, Programs and Curriculum and the programs' academic leads. Manages budgets for recruitment and student communications, and for mandatory program-related events and activities Coordinates student recruitment events locally, nationally and internationally, in collaboration with other staff. Evaluates and analyzes effectiveness of events and strategies for the future. Represents Faculty on external committees and at public functions. Represents UBC and Faculty at recruiting fairs nationally and internationally. Manages the adjudication of Faculty-recommended student awards and provides expertise and knowledge in the development of new scholarships/awards/prizes. Monitors student progress, including meeting timelines, program requirements, student supervisory issues and academic appeals, ensuring that all graduation requirements have been completed. Oversees the advising of prospective international and domestic students, parents, the University community, educators/counselors, and the general public of current admission requirements, changing policies, prerequisite studies, transfer credit, program availability, and alternative educational options. Oversees the creation and maintenance of an admissions database and an online application system for Faculty programs outside of established limiting UBC systems, to track and monitor application files. Works with Enrolment Services to build effective academic schedules to address innovative programming needs, e.g., for all versions of the MM program with sensitivity to system limitations and an ability to seek new solutions based on those limitations. Supervises the establishment and implementation of a suitable system to process payments for programs Directs the development and continued improvement of a reliable student-academic-progress-tracking system to address the FOM program needs, and future programming, as needed. Proposes, develops and oversees the implementation of FOM program cohort-building activities, evaluates and analyzes their effectiveness, and makes recommendations for continued and/or future initiatives, while demonstrating a deep understanding of maintaining program integrity and enhancing the student experience.

Manages and enhances the administration of Faculty of Management programming:In consultation with the Associate Director, Programs and Curriculum reviews advanced credit/transfer credit articulations and ensures accurate information regarding registration matters and program exemptions, and program requirements. Reviews and advises on potential updates to overall program progression to yield a more accessible and robust undergraduate program. Investigates and resolves, in consultation with the Associate Director, Programs and Curriculum, complex issues relating to registration, transfer credits, and other discrepancies in student records, while overseeing general registration and transfer credit application. Monitors student progress, including meeting timelines, program requirements, student supervisory issues and academic appeals, ensuring that all graduation requirements have been completed. Oversees the planning and delivery of Faculty-sponsored student events, including the coordination of multi-faceted, complex events throughout the year, such as intake sessions and graduation. Supervises the administration of Faculty-recommended undergraduate student awards, including student communications, establishing and meeting timelines, and adjudication. Represents the Faculty of Management on external committees and at public functions. Acts as a key liaison for students with complex personal or academic difficulty. Works with Faculty of Management staff to ensure referrals to appropriate UBC resources as needed. Manages Sessional Evaluation processes; including establishing and testing rules, implementing the evaluations, summarizing, analyzing and disseminating results, and overseeing the student appeal process. Oversees the day-to-day operations of the program, including supervising staff, students, and volunteers.

Develops and fosters Faculty and FoM engagements internal and external to UBC:Develops and enhances relations with faculty and staff within Faculty, across Faculties, Departments and central units in both campuses, and with external organizations, to foster collaborations in the ongoing development and refinement of FOM academic programs Engages with UBC central units in developing and refining recruitment strategies across the Faculty, drawing on successful campaigns that could be used to inform and execute successful strategies implemented in-house. Builds and coordinates opportunities for students and alumni to connect with and learn from employers, alumni and Faculty members through information sessions and events. Manages and assists with the development of special projects related to academic programming and/or community engagement, as assigned by the Associate Director, Programs and Curriculum Initiates coaching conversations with staff and student volunteers, co-op students, and/or work-study students, as required.

Consequence of Error/ Judgement
This position plays a key role in program implementation and in managing admissions, student communications, and recruiting initiatives, and has a direct impact on the image of the quality of the programs and services to prospective and current students, alumni, and the external community. Incumbent must be able to synthesize substantial volumes of information in order to make informed decisions and recommendations. Failure to accurately interpret information or lack of attention to detail could result in poor decision making that can have long-term effects on student success and can impact the future marketability of academic programs. Poor decisions would adversely impact the reputation of UBC and FoM. Exercises considerable independent judgement.
Supervision Received
Works independently under general directives from the Associate Director, Programs and Curriculum, with a dotted line to the Associate Dean, Teaching and Learning. Work is reviewed in terms of achievement of broad goals and objectives.
Supervision Given
Provides day to day management of one (1) BCGEU staff. Allocates and supervises work assignments. Works cooperatively with other staff, faculty and students to ensure that common goals are established and achieved. May oversee the work of temporary staff.
Qualifications
MinimumUndergraduate degree in a relevant discipline. Minimum three to fours years of related experience or the equivalent combination of education and experience. PreferredExperience in a post-secondary institution. Experience in communications and promotion required. Technical proficiency in using management computer software is required. Ability to work remotely; this role can be performed completely remotely, as required. Ability to thrive in a complex, interrelated organizational setting. Demonstrated oral and written communications, judgement, interpersonal skills and organizational skills are a must. Ability to make decisions independently, is poised, tactful and articulate dealing with senior faculty, students, staff, and the public, and has a high comfort level and ability in working under pressure. Domestic and international travel may be required including over weekends. * Attendance at some evening and weekend meetings and events is required.
