About the Faculty of Medicine
Welcome to the University of Ottawa Faculty of Medicine, the first and largest bilingual medical faculty in Canada. Position purpose:
Reporting to the Director, School of Pharmaceutical Sciences, Plays a leadership role in planning and managing School of Pharmaceutical Sciences activities so that the school\'s mandate and objectives are fully achieved. Manages the administrative team and activities to deploy professors and upgrade their skills. Works with the director to develop and implement new programs. Manages financial, material and human resources, taking into account school objectives. Ensures school outreach through collaboration with partners, as well as design of communication activities. Represents the school to the Faculty, the University and the external community.

In this role, your responsibilities will include:

  • Program management: Oversees development of and support for the school\'s administrative team and programs, including the undergraduate doctor of pharmacy program as well as other undergraduate and graduate programs. Ensures that there are sufficient human, financial and material resources (including spaces) to support these programs. Handles hiring and onboarding activities for new professors conducting teaching and research activities at the school.
  • Project management and coordination Plans and implements administrative activities and special projects stemming from files for which the school director is responsible. Handles many projects related to the development of the school as well as management and coordination of meetings the school is responsible for to meet its operational goals.
  • Team management: Manages human resources, including school support staff performance evaluation, staffing planning, goal definition, training and development. Ensures that team members are responsible for their sectors of activity and accomplish their assigned tasks on time and with attention to quality. Ensures that they have the work tools necessary to complete their tasks and meet their personal and business goals, while overseeing work coordination, distribution and control.
  • Partnership: Provides effective, positive management of relations with key stakeholders, both internal and external, to foster collaboration and further the school\'s image. Represents the director or the school on University and Faculty of Medicine committees, as well as in the community. Maintains links with pharmacy program administrators throughout Canada, to forge fruitful collaborations.
  • Finances: Manages school financial resources and advises the school director and directors of affiliated programs and services on financial management. Performs annual financial planning. Receives and distributes funds from various sources, properly applying the rules of accounting to meet fiscal responsibilities.
What you will bring:
  • University degree in administration and management, or equivalent experience
  • Five years\' experience in a similar role
  • Staff and team management, problem solving and conflict resolution experience
  • Knowledge of project and operations management
  • Knowledge and experience regarding financial management, including analysis, forecasting and report preparation
  • Experience in writing, interpreting and applying policies and procedures
  • Experience in implementing or managing new educational programs
  • Knowledge of the higher education and research milieu
  • Knowledge of the Canadian health-care system and health-care organizations (an asset)
  • Ability to communicate effectively (both orally and in writing) with strong interpersonal skills, to deal with managers at all levels in different sections, as well as with other partners
  • High degree of professionalism and autonomy
  • Ability to deal with conflicting priorities and meet strict deadlines in a fast-paced work environment
  • Ability to use applications (such as Microsoft 365 programs) as well as university systems
  • Bilingualism - French and English (spoken and written)
Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
