Role Overview:
We are seeking an experienced Manager, IT Workforce Management & Capacity Planning to lead strategic workforce and resource management initiatives. This role will focus on optimizing IT capacity, managing resource allocation, and ensuring the successful delivery of projects and operational activities. The Manager will develop and operationalize capacity plans, forecast workforce needs, and act as a point of contact for resolving resource conflicts, enabling IT teams to meet organizational goals efficiently.
Key Responsibilities:
Workforce & Capacity Management
- Serve as the subject matter expert on IT workforce capacity planning.
- Develop, implement, and maintain a Capacity Planning Framework and associated tools.
- Monitor workforce demand, supply, and resource utilization to identify gaps and opportunities.
- Implement strategies to optimize resource allocation and address bottlenecks.
- Lead capacity planning workshops and regular resource planning sessions.
- Maintain and manage a skills matrix, translating business needs into required roles and skills.
- Forecast future talent needs and availability to ensure alignment with project and business priorities.
- Balance resource requirements against costs and risks to optimize project delivery.
Forecasting & Reporting
- Prepare, analyze, and present workforce and capacity reports to leadership.
- Provide insights and actionable recommendations based on data analysis of resource utilization and allocation.
- Track and communicate capacity forecasts, workload trends, and resource availability.
Staff Allocation & Utilization
- Assign IT resources to projects based on skills, experience, and availability.
- Maintain consistent resource allocation across sprints and project iterations.
- Ensure workload distribution is balanced to prevent burnout and maintain productivity.
Collaboration & Communication
- Partner with IT Product and Platform Owners to understand demand, backlog, and upcoming resource requirements.
- Participate in sprint planning to provide insights on capacity constraints and resource readiness.
- Collect feedback on resource performance to inform future workforce planning decisions.
Process Improvement
- Continuously assess and enhance resource management processes and tools.
- Implement best practices and leverage technology to improve planning, allocation, and reporting.
Qualifications:
Education:
- Bachelor's degree in Business, Management, Human Resources, or a related field (or equivalent experience).
Experience:
- 5+ years in IT capacity planning or workforce management.
- 5+ years in Project Management or PMO roles.
- Proven experience in building capacity models, forecasting, and generating actionable insights.
Certifications (Preferred):
- PMP or equivalent project management certification.
Skills & Competencies:
- Proficiency in MS Project, Project Online, Excel, Power BI, and other Microsoft tools.
- Strong analytical skills with exceptional attention to detail.
- Ability to influence and collaborate with senior leaders and cross-functional teams.
- Strong communication skills, both written and verbal.
- Ability to prioritize and make proactive decisions in a fast-paced environment.
