We are seeking a Manager, Faculty Operations and Projects to play a central, connective role within the Dean's Office. This position supports the faculty by strengthening coordination across departments, advising on administrative and operational matters, and helping ensure that faculty-wide initiatives are well planned, well communicated, and well supported. Working closely with faculty leadership, department chairs, and administrative teams, the Manager contributes to a positive and responsive working environment by enabling effective processes, supporting people leaders, and guiding change initiatives that enhance how the faculty operates as a whole.
This role is well suited to someone who enjoys working behind the scenes to make complex environments function smoothly - bringing clarity to processes, supporting leaders through transitions, and helping translate priorities into coordinated action. While the position does not deliver operational services directly, it plays an important role in supporting faculty-wide activities, engagement initiatives, and time-limited projects that bring people together and strengthen the faculty community.

The salary range for this position is:

  • Recruitment range: $80,232 - $100,160 maximum starting salary is determined through knowledge, experience and internal equity.
  • Performance range: $115,106 salary range ceiling is available through annual performance increases.
Job Summary
Mandate:
The Manager, Faculty Operations and Projects provides advice, guidance, support and project management expertise to enable effective faculty operations and service delivery in support of the administrative, operational and human resource functions of the Faculty of Engineering and Computer Science. This role strengthens consistency and effectiveness across faculty operations by guiding people and facilities management, and by supporting the successful delivery of both large and small-scale initiatives.
By providing guidance as a centralized faculty resource on administrative matters, labor relations issues, and projects the Manager, Faculty Operations and Projects ensures compliance with university policies and fosters a supportive environment for faculty and staff. This position contributes to the faculty's strategic priorities through leadership in planning, change management, and project coordination, working closely with the Dean, department chairs, Director of Faculty Finance and Budgeting, and administrative leaders to enhance operational quality and organizational capacity.
Objectives:
  • Provides guidance and support to the Dean and departments on operational, administrative and employment relations matters, including the interpretation of collective agreements, conflict resolution, and ensuring compliance with UVic policies and procedures to ensure consistent, responsive, and well-coordinated administrative practices across the faculty.
  • Provides guidance on recruitment, employee development, and community-building initiatives to foster a positive work environment and ensure compliance with university policies.
  • Manage non-departmental facilities, space utilization, and long-range planning to optimize resources and support the faculty's operational needs.
  • Serve as a primary conduit for operational communication within the faculty, ensuring that information flows effectively between the Dean, faculty leadership, and departmental staff.
  • Lead and support special projects and change management initiatives that advance strategic goals, enhance operational efficiency, and improve faculty processes and systems.
  • Oversee project progress reporting and records and data management systems to support evidence-informed planning, transparency, and compliance.
This position may require occasional evening and weekend work outside of regular business hours relating to program and committee responsibilities and deadlines.
Job Requirements
This position requires a post-secondary degree in Business or related field, along with a minimum of five (5) years of progressively responsible experience in administrative, coordination, or operational roles, ideally within a post-secondary or complex institutional environment. Project management certification (e.g., PMP) or equivalent training is preferred. An equivalent combination of education, training, and experience may be considered.
Knowledge/Skills/Abilities:

  • Excellent understanding of the faculty's priorities and how they align with the UVic Strategic Plan.
  • Excellent critical thinking and problem-solving skills including safety and risk assessments.
  • Excellent communication skills including project reporting, academic metrics, impact reporting, and change management reporting.
  • Experience creating briefing notes, reports, and other documents for various audiences.
  • Ability to work independently and collaboratively, knowing when to consult, engage, and obtain leader involvement.
  • Flexible, willing to adapt to changes and challenges.
  • Ability to build and maintain positive, trusted working relationships.
  • Ability to communicate and collaborate effectively with individuals from diverse backgrounds and tailor communication style for different audiences and situations.
  • Experience in administration within a collective agreement environment, along with knowledge of post-secondary administrative structures, policies, faculties, departments, and services, is an asset.
