Role: The Manager, Facilities and Administration reports to the COO and will actively work with the full C-Suite members.The Facilities and Administration Manager plays a pivotal role in our organization and will provide high-level support to senior executives while supervising the overall maintenance and operational efficiency of all Equisoft offices. The role is crucial for ensuring the smooth operation of both executive functions and facility management, contributing to the overall productivity and effectiveness of our organization.The Manager is also responsible for ensuring a positive and thriving place to work and for providing a safe, efficient and comfortable environment for employees and visitors.This is an excellent opportunity for someone who thrives while helping people. This person will , troubleshoot a range of issues, as well as be the person who the wider team turn to for help. They will have the skills to enhance our local office community.Your Day with Equisoft:Working hours and location: This role is based in Montreal office with the expectation being in the office on most days (minimum of 4 times per week to meet the demands of business). Our office is conveniently located near public transit (Bonaventure Station).Primary Responsibilities
  • Office facilities management
  • Managing the facilities administrative assistants, contractors and suppliers
  • Seamlessly maintain day-do-day operations of all facilities
  • Ensure compliance with all health and safety regulations
  • Monitor office maintenance budget and expenditures
  • Develop and implement facility management policies and procedures
  • Executives Assistance Responsibilities
  • Coordinate, organize and plan all administrative needs (meals, conference rooms, travels, etc.)
  • Manage agendas when needed
  • Organize logistics for Townhalls and Strategic Retreats
  • Time-off and expenses management - submission and/or approvals when needed
  • Provide support to sensitive or critical global projects that have broader impacts across the company, while maintaining utmost confidentiality
  • Maintain various records and documents for company executives
Requirements:
  • Bachelor's Degree in Communication or Business Administration
  • 8+ years of relevant experience
  • 5+ years of prior experience managing a team
  • Knowledge of MS Suite
  • Strong knowledge in computer literacy including ease with working with various computer systems
  • Excellent knowledge of English and French (spoken and written)
  • Knowledge of Spanish (Nice to have)
