What responsibilities will you have in this role?

Reporting to the Director External and Community Relations, the Manager External Relations Special Events is responsible for designing and executing a comprehensive special events strategy to support George Brown College's external and community relations portfolio to advance the College's vision to be recognized as an industry champion, community, and city builder. The incumbent is instrumental in the leading, planning, production, and execution phases of a wide variety of Divisional and Presidential Office events involving college-wide internal and external stakeholders, official ministry/governmental visits, media events, press conferences, high-profile site visits and tours in collaboration with other divisions and departments. The incumbent will create a special event plan/strategy to support the external relations portfolio and strategic divisional and Presidential activities.

  • Oversees ongoing development and execution of special event strategy for the Division that aligns with organizational goals, priorities, and objectives.
  • Incorporates a series of content rich events that educate and engage George Brown College's external constituencies.
  • Designs event program/content and schedules, and develops communication and marketing materials, and event-follow up to achieve desired outcomes.
  • Plans and produces in-person and virtual events from concept through to completion: identifying opportunities and risks, contingency planning, and all event logistics.
  • Facilitates and ensures all ongoing special event communication with teams, external clients and guests, and other stakeholders regarding special event logistics, staff schedules, student programming, VIP guests, and food & beverage deliverables.
  • Coordinates with the Marketing and Communications departments for asset creation, brand standards and recognition, brand ambassadors, securing a photographer/videographer, profiling events on all social media platforms and GBC website.
  • Coordinates event team working group including representatives from department areas involved.
  • Provides confidential oversight, guidance and monitoring of event details which require diplomacy and discretion.
  • Develops and updates annually special event's strategic program plan on basis of Divisional budget.
  • Provides leadership through the efficient operation of the special events team consisting of part-time event staff ensuring that GBC brand standards are reflected in all special events, and special event policies and procedures.
  • Ensures events remain fresh and relevant designed to Divisional goals and get wider external/community engagement in activities/events.
  • Plans plus promote aggressively all corporate as well as individual sponsorship opportunities related with each event.
  • Provides professional development, team leadership, and training opportunities to part-time event staff. Conducts staff performance reviews and maintains union relations.
  • Other related duties as assigned.
What qualifications do you need for this role?
  • Two-year Diploma from a recognized post-secondary institution in Events Management or a related field.
  • Certification in Smart Serve Ontario; Responsible Alcohol Beverage Service Training.
  • ServSafe Food Handlers Certification; Canadian & provincial food handler food safety training requirements and WHMIS; Workplace Hazardous Material Information System.
  • Five years' experience working in a variety of event planning, and/or hospitality positions; and in a supervisory/leadership roles, three of which should be in an administrative management positions.
  • Training and experience with Event Management software e.g. Caterease; Restaurant Reservation System - e.g. OpenTable, Bookenda, DINR; Human Resource Management System - e.g. Cornerstone; Expense Management service - e.g. SAP Concur and Finance reporting - e.g. Millenium FAST Suite, QuickBooks is an asset.
  • Experience in human resources; hiring, reviewing, staffing and management of staff both within a collectively bargained agreement and not.
  • Extensive knowledge of special events/hospitality, cost management and event operations.
  • Experience with special event planning for group sizes ranging from 5 - 500 or more.
  • Seasoned in Front Line crisis management.
  • Strong interpersonal skills; team building and communication.
  • Experience working with a variety of high-profile clientele, in private and public sectors, both domestic and international.
  • Working knowledge of current marketing trends; including social media.
  • Demonstrated ability to work in a diverse setting, leading projects that involve several departments.
  • Experience in project management, planning, development, and execution of cross-divisional complex projects, including budgetary.
  • Demonstrated success as a communicator in an international context and sensitivity to the complexities of cross-cultural communication.
  • Ability to work both independently and as part of a team, capacity to work effectively under pressure and while traveling abroad for extended periods of time.
  • Demonstrates superior communication in articulating direction and rationale, in problem solving to resolve issues and in managing crisis situations.
  • Demonstrated leadership in delivering excellent service to others as this is key in supporting the success of our students and our College.
  • Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experience, and styles.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.
