Salary Rate: $63,882- 78,039 (Based on 37.5 hours per week) Overview StFX is a top ranking Canadian university and we are seeking a Manager, Conference Services & Special Events to be a part of the Ancillary Services team. This opening is a full time position commencing as soon as possible. Reporting to the Director, Ancillary Services, the Manager is responsible for and supervises the events, bar services, AV and financial aspects of the Conferences and Special Events Department. They assist with operations at the Keating Centre, including the financial aspects of the facility. They oversee and collaborate on many key institutional events, including graduations, X-Ring ceremonies, Homecoming, Welcome Days) Key Responsibilities

  • Manage Supervisor of Conferences and Special Events. Provides proper support and instruction to staff to ensure seamless events take place and excellent customer service is provided for University and external events.
  • Manage Bar Services Supervisor to ensure the University Liquor License is upheld, excellent customer service is provided, accurate billing is completed, and improvements to bar services are on-going.
  • Manage Financial Analyst. Work with this position to ensure accurate and timely invoicing for clients and payment of vendors. Ensures that aging summaries, deposits and collections are complete in a timely manner.
  • Manage Media Services Technician - Responsible for providing a wide range of hands-on technical assistance in the operation of multimedia equipment, including resolving connectivity issues, troubleshooting audio visual equipment, and working with large group events.
  • Takes lead on all major conference groups at StFX including identifying conference requirements and completing contractual agreements with the clients. Provide senior point of contact for clients, draft quotes, contracts and agreements.
  • Define, specify, and request support from various University departments for conferences including, but not limited to, food service, operations, security, housing, facilities management, and media services. Conduct weekly meetings with various departments to prepare for upcoming events.
Qualifications
  • A minimum Diploma in Hospitality, Business or equivalent
  • Minimum of 5 - 7 years supervisory experience
  • Experience leading / managing customer service focused projects
  • Excellent interpersonal, communication (oral and written) and organizational skills
  • Experience working with and communicating to customers a must
  • Able to balance the job requirements while considering multiple stakeholders
  • Demonstrated creativity, resourcefulness with superior judgment and decision-making skills
  • Experience with facility and/or conferencing booking software would be considered an asset
  • Strong work ethics and success at working in a team environment
  • Ability to multi-task and follow-up with an eye for detail
  • MS office suite (Excel, PowerPoint, Word) experience helpful
