Job Summary


We are seeking a motivated and organized Office Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing front desk responsibilities, and delivering exceptional customer service. This position requires a proactive individual who can handle various tasks efficiently while maintaining a positive attitude.

Key Responsibilities:



1. Office Administration & Support



Assist with day-to-day office operations to ensure smooth workflow. Maintain and manage office supply inventory (stationery, equipment, etc.); place orders as needed. Support document filing (digital and paper) and maintain organized records. Monitor and respond to general inquiries via phone, email, and in-person.

2. Concierge & Reception Duties



Greet clients, suppliers, and visitors in a professional and friendly manner. Coordinate office deliveries, mail, and courier services. Schedule meetings, prepare meeting rooms, and manage calendar appointments as needed.

3. Sales Reporting & Support



Collect and compile weekly sales data from sales staff and prepare sales summary reports for management review. Track and update performance metrics or KPIs related to rentals, revenue, and customer engagement. Maintain and update sales tracking systems (CRM or spreadsheets).

4. Quote & Bid Management



Prepare and issue accurate sales quotes for sales team based on equipment availability and pricing structure. Assist in tracking and following up on open quotes and bids. Communicate with clients for quote confirmations or clarifications. Coordinate with the sales team to ensure timely submission of competitive bids.

5. General Support



Assist the Manager with administrative tasks and projects as assigned. Support internal communications and distribute memos or updates to staff. Provide backup support to other administrative staff as needed.

Skills & Qualifications:



Strong organizational and multitasking skills. Proficient in MS Office (Excel, Word, Outlook); Excellent communication skills--verbal and written. Ability to work independently and as part of a team. Prior office administration or sales support experience preferred.
Job Type: Full-time

Pay: $50,000.00-$53,000.00 per year
