Reporting to the Director of Facilities and Maintenance, the Coordinator is responsible for maintaining and overseeing efficient workflows regarding preventative, routine, emergent, and specific maintenance tasks for buildings owned and operated by Right at Home Housing Society (RAHHS).
Key Responsibilities
MAINTENANCE COORDINATION (0.5 FTE)
Supervise maintenance staff and contractors to ensure work is completed to standard and in accordance with Occupational Health and Safety (OH&S) and RAHHS policies
Ensure adequate job supervision, related training, policy and procedure documentation, and safety measures are in place for maintenance team employees
Ensure maintenance staff and contractors perform their assigned preventative and demand maintenance work in accordance with policy
Coordinate suite turnovers in conjunction with the Director of Facilities and Maintenance. Ensure suites are turned over in a timely manner, and perform follow-up inspections as needed to ensure they are move-in ready
Review incoming work requests for demand maintenance, organize priority, and assign tasks to appropriate staff members to complete the work. Follow up with tenants and staff on work orders in which clarification and/or trouble shooting is required.
Oversee inspections and upkeep of assets on a regularly-scheduled basis with a focus on identifying and preventing accelerated asset depreciation
Perform random inspections of work conducted by maintenance employees with the intention to provide meaningful leadership in the following areas:
Providing guidance and direction for employees to maintain an acceptable standard of work
Increase and maintain team morale and motivations
Determining opportunities for skill development and training
Evaluate the effectiveness of external contractors and vendors, and address concerns in coordination with the Director of Facilities and Maintenance
As needed, contribute to committee meetings and provide input to guide the strategic direction of the organization
MAINTENANCE TASKS (0.5 FTE)_ _
Perform demand service maintenance on the following areas as assigned by the Director of Facilities and Maintenance:
Mechanical maintenance
Electrical maintenance
Plumbing
Building envelope (windows, doors, and other structural components which prevent external elements from entering the building)
Security maintenance repairs
Perform emergency repairs to the point of controlling or isolating an incident to prevent damage to the facility. This includes work as needed in rotation, covering maintenance emergency call-outs outside of regularly scheduled hours in accordance to RAHHS policy and procedures.
Perform maintenance tasks aligned with prioritization of work orders in buildings and surrounding properties owned and managed by RAHHS as assigned by the Director of Facilities and Maintenance, including:
Mechanical maintenance
Electrical maintenance
Plumbing
Building envelope repairs (windows, doors, and other structural components which prevent external elements from entering the building)
Security maintenance repairs
Drywall
Flooring
Painting
Countertop repair
Doors and locks
Roofing
Windows
General carpentry
Other housing structural repairs as needed
Provide coverage for other staff who are on vacation or sick leave to lend skills in areas where staff shortage occurs
Provide on-site skills job shadowing and/or cross-training to other employees as directed by the Director of Facilities and Maintenance
Qualifications
Class 5 Drivers License, with clean driver's abstract provided within 30 days of hire
Criminal record check provided to the Human Resources Department within 90 days of hire
Trades certificate in a relevant trade (like electrical, plumbing, or carpentry) with 3 years work experience. Equivalent education and experience will be considered.
Leadership qualities with demonstrated ability to supervise and lead a team of 5-10 employees
Ability to become familiar with tenants and maintain a friendly and supportive relationship with them
Ability to problem solve and troubleshoot with limited information
Ability to work in a dynamic environment with changing priorities and remain calm in high pressure situations
Ability to develop job skills through hands-on training and experience
Terms of Employment
The Coordinator will be expected to work 37.5 hours per week, with a schedule of Monday-Friday between the hours of 8am-5pm, as agreed upon with the Director of Facilities and Maintenance.
The Coordinator will be compensated at an hourly rate of $39.50. Overtime at a rate of 1.5 times your rate of pay will be compensated for any hours worked over a 37.5 hour work week.
The employee will be expected to rotate on-call hours with other permanent maintenance employees, for which every call-out, you will be compensated for a minimum of 3 hours of overtime at a rate of 1.5 times your rate of pay, or for the full period of time the emergency response is conducted per call-out. You will also be compensated for 7.5 hours of regular pay every quarter (in the months of March, June, September, and December) with consideration towards administrative time you are required to be available for emergency call-outs.
