Sommaire du poste :



Effectuer la saisie complete des donnees relatives aux baux et sous-baux, incluant les clauses detaillees (p. ex. conditions particulieres, exemptions), en se referant aux documents legaux officiels et conformement aux procedures etablies par Precise Property. Entrer et maintenir a jour les informations sur les locataires, notamment les coordonnees, les modalites de paiement et les termes de bail dans le systeme (Yardi). Interpreter les clauses des baux et rediger des resumes concis pour soutenir les parties prenantes internes. Preparer egalement de nouveaux contrats de bail avec le soutien du conseiller juridique externe, en agissant comme principal point de contact entre les avocats, courtiers, autorites gouvernementales et locataires afin d'assurer la conformite et l'exhaustivite de la documentation. Configurer les parametres et calculs lies aux baux, y compris les augmentations de loyer, indexations, loyers variables, allocations d'ameliorations locatives, couts recuperables, depots de garantie et ajustements du registre des loyers. Mettre a jour les taux annuels des loyers supplementaires (p. ex. entretien commun, frais promotionnels, taxes foncieres) selon les donnees fournies par les comptables immobiliers. Produire des rapports et analyses de gestion de baux (p. ex. taux d'occupation, superficies, baux temporaires, mouvements de locataires). Suivre et mettre a jour les dates critiques des baux (p. ex. conditions, echeances, renouvellements, cessions) dans le systeme. Favoriser la collaboration avec les equipes internes, incluant la comptabilite immobiliere, tout en travaillant directement avec le PDG. Maintenir une communication ouverte et proactive pour l'informer des developpements cles, priorites et resultats, en assurant un alignement constant sans supervision quotidienne. Rediger des baux commerciaux et industriels complexes pour les marches du Quebec et des Etats-Unis, en veillant a la conformite avec les normes juridiques regionales. Coordonner l'execution des baux, la livraison des locaux et les travaux du proprietaire. Assumer la responsabilite des renouvellements d'assurance et de la documentation relative au financement immobilier -- un volet autonome et essentiel du poste necessitant une grande rigueur et un excellent suivi. Maintenir les registres corporatifs, les depots au REQ et les livres de proces-verbaux a jour et exacts.

Qualifications :



Minimum de cinq a sept ans d'experience dans un poste similaire en administration des baux, idealement dans le secteur immobilier industriel. Bilinguisme (francais et anglais, parle et ecrit) - exigence non negociable. Maitrise de la suite Microsoft Office. Bonne connaissance des systemes comptables, particulierement Yardi, constitue un atout. Souci du detail, excellentes habiletes organisationnelles et analytiques. Capacite a collaborer efficacement entre les departements dans un environnement dynamique. A l'aise de communiquer directement avec le PDG, de poser des questions et de maintenir un dialogue ouvert axe sur les solutions. Atout : diplome ou formation en finance, droit ou domaine connexe.

Position Summary:



Perform full-cycle data entry of lease and sublease information, including detailed clauses (e.g., special conditions, exemptions), referencing official legal documents and adhering to Precise Property's established procedures. Input and maintain tenant information such as contact details, payment methods, and lease terms in the system (Yardi). Interpret lease clauses and draft concise lease summaries to support internal stakeholders. In addition, prepare new lease agreements with support from external legal counsel, acting as the main liaison between lawyers, brokers, government authorities, and tenants to ensure all documentation is complete and compliant. Configure lease parameters and calculations, including rent escalations, indexations, percentage rents, tenant improvement allowances, recoverable costs, security deposits, and rent roll adjustments. Update annual rates for additional rents (e.g., CAM, promotional fees, property taxes) based on data provided by Property Accountants. Generate lease management reports and analytics (e.g., occupancy, floor areas, temporary leases, tenant movements). Monitor and update critical lease dates (e.g., conditions, expiries, renewals, assignments) in the system. Foster synergies with internal teams, including real estate accounting, while working in direct collaboration with the CEO. Maintain open and proactive communication to keep him informed of key developments, priorities, and outcomes, ensuring alignment without requiring day-to-day supervision. Draft complex commercial and industrial lease agreements for both Quebec and U.S. sectors, ensuring accuracy and compliance with regional legal standards. Coordinate lease execution, delivery of premises, and Landlord's Work. Take ownership of insurance renewals and property financing documentation--an independent and significant component of the role requiring strong attention to detail and follow-through. Maintain corporate records, REQ filings, and minute books, ensuring all documentation is accurate and up to date.

Qualifications:



Minimum of Five to Seven years of experience in a similar lease administration role, preferably within industrial real estate. Bilingualism (French & English, verbal and written) - non-negotiable. Proficiency in Microsoft Office Suite. Strong working knowledge of accounting systems, particularly Yardi, is considered an asset. Detail-oriented with excellent organizational and analytical skills. Ability to work collaboratively across departments in a fast-paced environment. Confident in communicating directly with the CEO, asking questions, and maintaining open, solution-focused dialogue. * Asset if diploma or formal training in Finance, Law, or a related field.
