The Role: Logistics & Engagement Specialist
We're looking for a highly organized, detail-oriented, and proactive team member to join our Central Operations team. As our
Logistics & Engagement Specialist
, you'll play a vital role in keeping our programs running smoothly behind the scenes -- with a focus on
event coordination, day-to-day logistics, and operational support
across all streams.
This role is ideal for someone who thrives on structure, thinks ahead, and takes pride in creating professional, welcoming, and well-executed events and spaces. You'll help us deliver programming that feels intentional, inclusive, and aligned with our values -- all while staying calm, responsive, and collaborative in a fast-paced environment.
Key Responsibilities
Program & Event Logistics
Coordinate all logistical aspects of in-person and virtual events (bookings, tech, supplies, signage, catering, setup/take-down, etc.)
Ensure events are well-prepared, visually cohesive, accessible, and professionally presented
Create and manage Eventbrite listings, waitlists, attendance records, and participant tracking
Support day-of delivery and anticipate needs in advance to ensure smooth execution
Administrative & Operational Support
Maintain a master calendar of events and program activities
Use Asana and Google Workspace to manage checklists, timelines, and planning workflows
Prepare and organize materials for meetings, sessions, and outreach
Coordinate occasional local errands or supply pickups
Volunteer & Casual Staff Coordination
Recruit, schedule, and support volunteers and peer helpers
Supervise 1-2 casual Activity Support staff during events
Assign and oversee setup and coordination tasks to maintain quality and consistency
Professional Communication & Collaboration
Communicate clearly and respectfully with team members, vendors, volunteers, and participants (by email, phone, and in person)
Work closely with program stream leads (Employment, Industry Engagement, Wellness) and the Marketing & Communications team
Collaborate across a diverse team to align scheduling, logistics, and messaging
About You
You're organized, reliable, and naturally detail-oriented
You think ahead, solve problems before they happen, and love creating order
You have a great eye for setup, space, and flow -- and take pride in professional presentation
You communicate clearly and kindly, and work well in team settings
You value equity, access, and the role of logistics in shaping welcoming, inclusive experiences
You're tech-comfortable and enjoy using tools like Asana, Eventbrite, Zoom, Google Workspace, HubSpot, and Slack
Qualifications
Degree or diploma in event management, nonprofit operations, administration, or a related field
2+ years of experience in logistics, coordination, or administrative roles
Experience supervising staff or volunteers is an asset
Strong interpersonal, time management, and problem-solving skills
Lived experience as a newcomer or second-language speaker is a strong asset
Experience in diverse, community-based, or mission-driven settings is an asset
Work Environment & Requirements
Full-time, in-person role based in St. John's, NL (Monday to Friday, 9:00 AM to 5:00 PM)
Flexibility is essential:
programming often takes place during weekday evenings and some weekends. Availability to work outside standard hours is required, with advance notice
A valid driver's license and access to a vehicle are required
for errands, event support, or transport of supplies
