We are a Suncor/Petro-Canada petroleum product wholesaler and Petro-Pass card lock agent operating in several locations throughout northern and southern Manitoba. We are seeking a highly organized, detail-oriented, and proactive Logistics Coordinator to manage the seamless flow of fuel and lubricant orders. In this critical role, you will act as the central communication hub, optimizing delivery schedules, managing fleet maintenance, and ensuring exceptional customer and driver satisfaction. The ideal candidate thrives in a fast-paced environment and is adept at using fleet management software to enhance operational efficiency.
Key Responsibilities
Order & Dispatch Management:
Receive and organize customer fuel orders via email and phone, providing prompt confirmation and obtaining necessary purchase orders.
Schedule and dispatch delivery assignments for fuel truck drivers in a time-efficient manner, accommodating day-of orders as needed and prioritizing important customers.
Communicate regularly with fuel truck drivers throughout the day to provide updates and resolve issues.
Fleet & Maintenance Coordination:
Utilize?Telematics software to track truck locations, monitor service requirements, evaluate driver work hours, and ensure optimal efficiency of daily deliveries.
Coordinate and manage all required truck repairs and routine servicing in a timely manner.
Determine the nature and type of repair required while considering cost efficiency, liaising with management and service providers for quotes and approvals.
Administration & Operations Support:
Maintain awareness of conditions and factors that may impact drivers or deliveries and coordinate appropriate responses to driver-reported incidents.
Receive, verify accuracy of, and submit drivers' time sheets each payroll cycle.
Provide support and backup to the Senior Manager of Operations when necessary.
Manage customer lubricant orders, coordinate deliveries.
Customer & Supplier Relations:
Maintain and develop strong relationships with existing and potential customers and company suppliers.
Provide excellent customer service at the front desk and answer customer inquiries by phone and email.
Qualifications & Skills
Proven experience in logistics, transportation, dispatch, or a related field, preferably in the fuel or hazardous materials industry.
Proficiency in fleet management software, Microsoft Office Suite (especially Excel), and general office systems.
Strong organizational, time management, and problem-solving skills, with the ability to manage multiple priorities in a high-pressure environment.
Excellent communication skills (verbal and written) for coordinating with drivers, customers, vendors, and internal teams.
Detail-oriented with a strong focus on accuracy in record-keeping and data entry.
Flexibility to be available 24/7 by responding to after-hours calls and coordinating emergency responses when necessary.
Ability to work both independently and collaboratively as part of a team.
Education & Experience
Class 1 or 3 Drivers License considered as an asset
Ability to problem solve and address various situations that arise in a timely manner
Communicate in a clear and concise manner to drivers and management
