Role Summary & Purpose:
The Logistics Administrator plays a key role in supporting Black Fly's shipping, receiving, and customs operations across Canada and the United States. This role ensures the accurate preparation and processing of shipment documentation, coordinates carrier activity during afternoon and evening shipping windows, and maintains compliance with customs, excise, and Dangerous Goods requirements. Working closely with Warehouse Supervisors, carriers, and customs brokers, the Logistics Administrator helps keep daily logistics activities running smoothly through strong documentation accuracy, efficient truck and dock coordination, and proactive issue resolution. This position also provides essential administrative support to the logistics team, including data entry, reporting, and cross-functional communication, contributing to a highly organized and compliant warehouse and distribution environment.
Prepare, verify, and process Bills of Lading (BOLs) for outbound/inbound shipments.
Ensure accurate shipment documentation for Canadian and U.S. customers.
Support same-day and next-day shipment preparation during afternoon/evening shipping windows.
Maintain accurate electronic and physical filing of shipment documents.
Assist with resolving documentation discrepancies or missing information.
2. Customs & Compliance
Coordinate Canadian and U.S. customs clearance for outgoing and incoming shipments.
Communicate with customs brokers to ensure timely document submission and clearance.
Prepare basic customs paperwork; escalate complex issues to senior team members.
Maintain records to support Excise and Dangerous Goods compliance.
Complete and update Dangerous Goods paperwork (DG certification training provided).
3. Truck Coordination & Dock Scheduling
Assist with coordinating incoming and outgoing trucks with carriers and Warehouse Supervisor(s).
Manage dock scheduling in OpenDock/NOVA for afternoon/evening deliveries and pickups.
Track truck ETAs and communicate changes to internal stakeholders.
Support carrier communications for routine inquiries and pickup confirmations.
4. Dunnage & Warehouse Support
Manage dunnage tracking, sorting, and return coordination to internal/external vendors and other facilities.
Support CHEP/dunnage movement documentation and reporting as assigned.
Assist Warehouse Supervisor(s) with stock checks, inventory verifications, and administrative support.
5. Administrative & Cross-Team Support
Data entry, document preparation, reports, and general logistics administrative work.
Ensure all paperwork is completed accurately and routed to the correct department.
Support monthly reporting or recurring administrative tasks (excise support, dunnage logs, destruction logs, etc.).
Provide coverage for routine tasks during vacations/absences for the broader logistics team.
Other duties as assigned.
Qualifications & Requirements
Post-secondary diploma in Business, Supply Chain, Logistics, or related field preferred.
1 - 3 years experience in logistics, shipping/receiving, customs, transportation admin, or related roles.
Strong ability to problem solve independently on a regular basis.
Strong attention to detail and accuracy in data entry and documentation.
Experience with cross-border customs documentation (Canada/US) considered a strong asset.
Knowledge of Dangerous Goods regulations an asset (certification provided if needed).
Strong organizational and problem-solving skills.
Ability to work independently and multitask in a fast-paced environment.
Proficiency with Microsoft Office (Excel required).
Experience with Microsoft Business Central or other ERP systems considered an asset.
Strong verbal and written communication skills.
