Logistics Administrator & Dispatch Coordinator
to join our office team.
The Role
This is a multi-faceted administrative position designed for a professional who thrives in a fast-paced environment. You will serve as the operational hub of our office, ensuring that our high-stakes government and commercial contracts are executed with 100% accuracy.
Key Responsibilities
1. Customer Service & Order Management
Intake & Communication:
Act as the primary point of contact for clients, managing incoming orders via local and toll-free telephone lines.
Contract Relations:
Communicate directly with Project Authorities to resolve scheduling issues or address service concerns promptly.
2. City Courier Dispatching
Route Coordination:
Manage the daily dispatching for "Scheduled" and "As-Required" courier services across North and South Winnipeg.
High-Stakes Logistics:
Coordinate time-sensitive medical runs as well as all kinds of courier and freight orders with drivers
Dynamic Scheduling:
Adjust routes and driver assignments to accommodate late-night pickups and varying airline flight times.
Freight Brokerage & Logistics Administration
Network Coordination:
Manage freight movements and brokerage operations across North America, servicing a diverse portfolio of commercial and government clients beyond municipal contracts.
Requirements Analysis:
Consult with customers to deeply understand their specific freight requirements, ensuring the correct equipment and service levels are selected for every load.
Carrier Management:
Responsible for the strategic booking of trucks and carriers, vetting partners to ensure they meet Bullwhip's high standards for safety and reliability.
Stakeholder Communication:
Serve as the central communication link between the shipper, the carrier, and the consignee to ensure all parties are aligned on pickup and delivery expectations.
Transit Oversight:
Proactively monitor freight in transit to ensure timely delivery, providing regular and transparent status updates to clients throughout the shipping process.
Compliance & Documentation:
Assist in maintaining meticulous records for audit purposes, including the management of bills of lading, proof of deliveries (PODs), and contract-specific reporting.
Requirements
Experience:
Previous experience in logistics, dispatching, or freight brokerage administration is highly preferred.
Organization:
Exceptional ability to manage multiple schedules and documentation requirements simultaneously.
Communication:
Advanced proficiency in English (written and oral) to interact with government personnel and departmental representatives.
Technical Skills:
Proficient in data management (Excel/spreadsheets) for record-keeping and financial auditing purposes.
