Overview/Purpose
The Logistics Administrator works within the Logistics department to prepare documentation for the shipment of freight including load sheets, cross-border customs forms and other shipping documents that are prepared for billing. The Logistics Administrator approves payment for drivers, inputs data for billing and communicates with customers to track and trace freight movement and accessorial charges.
Duties and Responsibilities:
• Book freight appointments for loading and unloading as required
• Input information for each load into TruckMate and verify information is correct for billing
• Provide timely input of data into computer to facilitate freight, equipment movement and additional logistical planning
• Track and monitor situations using technology including phone, radio, internet and respond to situations using available information and judgement
• Verify freight content, temperature requirements, and ensure items shipped match bills of lading. Document or resolve discrepancies as they arise
• Understand Canadian and U.S. customs requirements including ACE, ACI, DOT and MTO laws and regulations including licensing requirements and Hours of Service for both Canada and the U.S.
• Fax, scan, upload or email various documents or delivery times to customers and customs' portals
• Use Logistics programs including Omnitracs (Shaw Tracking), TruckMate, Driver Hours of Service, PC Miler, and iBright to enter orders into the computer, build loads, prepare and issue delivery/pick-up documentation to the driver and follow up ensure all required paperwork is submitted
• Track and trace freight movement and communicate status to customers on a daily basis
• In consultation with Logistics Coordinators, troubleshoot and resolve any issues that arise whether it be with a driver, freight, equipment issue or another department at SFX Transport
Education and Training:
• A high school diploma or GED
• A degree or diploma in transportation or logistics would be an asset
• Requires fluency in both speaking and writing English, other languages are an asset
Functional Competencies:
• Ability to work well independently and as part of a team
• Logistics Administrators require the ability to remain calm, clear and in control; especially in emergency situations
• The Logistics Administrator communicates using computer software, email, or phone; often with Drivers improving their English language skills. An ability to listen, speak plainly and communicate effectively is necessary
• Logistics Administrators require excellent analytical skills
• Logistics Administrators must be highly organized and able to concentrate in an environment with noise and interruptions
• A Logistics Administrator requires the ability to read maps and communicate directions clearly
• Sufficient knowledge of equipment terminology to accurately communicate
Job Types: Full-time, Permanent
Pay: $40,000.00-$50,000.00 per year
