Job summary
MLT Aikins is looking for a litigation legal assistant responsible for providing administrative and clerical support for lawyers in our Indigenous practice group of the Vancouver office.
Our Indigenous practice group currently serves First Nations, Metis and Inuit governments and businesses across Canada, advising on a wide variety of legal matters including litigation and negotiations of Aboriginal and treaty rights specific claims, commercial law to advance economic development within Indigenous communities, lands and land management, labour and employment law, health and child welfare governance, law-making within Indigenous inherent jurisdiction, environmental legislation and regulatory and administrative law.

Responsibilities include:
Editing and formatting legal correspondence and documents
Performing various administrative tasks, including file opening and closing, copying and scanning
Coordinating logistics for client meetings and hearing in-office or out of town:
+ Preparing key documents and binders
+ Coordinating boardrooms or rental rooms for clients meetings, submitting disbursements for same Submitting various regulatory filings for federal and provincial proceedings
Managing client accounts receivable status and reconciling accounts with budgets for work
Processing client travel disbursement and reimbursement following client out-of-town travel
Coordinating catering for client meeting; submitting disbursement for same
Preparing client billings, responding to billing inquiries and coordinating with clients on billing preferences, billing follow-up to review outstanding accounts and communication with clients regarding the status of outstanding accounts with the firm
Maintaining an efficient digital file system
Maintaining lawyers' calendars and contacts, scheduling client appointments as directed, arranging travel schedules, booking and amending travel plans as needed and coordinating logistics for various client meetings
Playing an active role in taking initiative in assisting the lawyers with practice management tasks such as booking meetings and boardrooms, organizing conference calls, hotel arrangements, registration for seminars and courses
Monitoring incoming emails and proactively addressing time sensitive matters with the team
Coordinating communication with law societies to ensure enrollment and record of continuous professional development
Qualifications include:
Graduate of a recognized legal assistant program (equivalencies will be considered)
Minimum of five years of experience working as a legal assistant or administrative assistant with an organization focused on providing high-quality professional services
Experience in the Indigenous practice area is an asset
Ability to follow instructions with minimum supervision
Ability to thrive in a fast-paced, professional team environment
Advanced computer skills including Word, Excel, Outlook and document management software
Excellent verbal and written communication skills along with strong proof reading, writing, spelling and grammar skills
Strong and respectful interpersonal communication skills, focused on collaborative solutions
Strong organizational skills with exceptional attention to detail
Ability to understand and anticipate client needs, ensuring satisfaction through a client focused approach and a commitment to delivering exceptional service to both internal and external clients
