We are looking for a full-time individual to fill our Listing and Deals Administrator position. This individual must be self-motivated and take initiative to complete tasks independently. Also, to be a great fit on our team, this person must be organized, hard working, and tech savvy. To perform the essential tasks of this position, a driver's license and a vehicle is required. Relevant work experience is required.
Necessary Skills:
Tech savvy and proficient in Outlook Emails & Calendars, other Microsoft Office programs, and Adobe Acrobat
Ability to learn new computer software quickly and efficiently

Tasks:
Manage and oversee all listings and sales transactions for the team
Communicate with the buyers and sellers throughout each transaction
Prepare proposals and paperwork for listings as instructed by the lead agent (Comparative Market Analysis, Listings)
Keep listing, sales and client folders organized (move once sold/annually)
Assist with writing the public remarks for all new listings
Prepare and provide all listing paperwork to Re/Max Crown for activation on MLS
Manage listing showings through software and send listing reports to sellers as needed
Collect documents and process the trades for all deals
Assist with paperwork for buyers and current deals
Pre-closing organization - follow up to ensure all pending items are completed as per agreement, schedule walk throughs, obtain client's lawyer information and send all required documentation to the lawyers.
Post-closing client care - closing gift coordination and delivery, database update of address, closing survey and communication
Run weekly meeting and upkeep meeting notes and manage team calendar with upcoming due date
Upkeep the database and ensure client's information is accurate (birthdays,
tags, contact info, addresses, workflows for activities/reminders)
Assist lead agent in organizing daily calls and tasks to ensure nothing is missed in the client listing/sales process
Assist in preparation of mail outs during the year
Attend and assist with networking and client events
Run errands when necessary such as picking up cheques, real estate signs, closing gifts, etc.
Keep up with industry trends, insights and topics

Pay: $22.00-$28.00 per hour
