SUMMARY OF DUTIES
Reporting to the Director of Operations, Programming - Creation, Distribution & Marketing (PCDM), the incumbent dedicates 50 percent of their time to the operational execution and coordination of the Filmmaker Assistance Program (FAP) and the Aide au cinema independant du Canada (ACIC) program, and 50 percent to line producing special projects for NFB production units. As a line producer, they are responsible for managing (planning, organizing, coordinating) day-to-day operations and logistics at all stages of production--development, pre-production, post-production and delivery--and regularly monitoring budgets, production stages and schedules, and rights-management processes. As the ACIC/FAP Program Manager, they oversee the operational execution and coordination of the programs, ensuring they are delivered in alignment with the NFB's strategic priorities and in accordance with the eligibility criteria and guidelines established by the NFB.
MAJOR RESPONSIBILITIES
As the ACIC/FAP Program Manager ( 50 percent):
Reviews, analyzes and evaluates the eligibility of incoming applications and puts forward a preliminary slate of recommended projects for leadership approval.
Acts as the primary liaison for filmmakers, responding to all inquiries related to program guidelines and technical procedures.
Coordinates requests for technical services with the ACIC/FAP Technical Coordinator and monitors both financial and in-kind resources to ensure each project remains on budget.
Monitors project timelines to ensure post?production services are completed within the six?month window and helps resolve scheduling conflicts based on priorities.
Prepares contracts and service agreements; ensures they comply with applicable guidelines and requirements, and obtains appropriate signatures.
Oversees revenues and expenses in collaboration with the administrator; reviews and validates expense reports and reimbursement claims.
Maintains accurate project data in FLOW and program documentation; prepares reports and makes recommendations for improvements.
Represents the programs at festivals, partner selections (e.g., Regard sur Montreal) and networking events; supports discovery of emerging talent.
As Line Producer of special projects ( 50 percent):
Works in close collaboration with the producer to complete treatment and production-proposal analyses, and contributes to the budget-planning process for projects.
Plans the technical aspects and requirements (format, equipment, deliverables, etc.) for productions and liaises with Technical Resources teams.
Participates in building production teams; negotiates rates and contracts for production team members (production, post-production, launch) in close collaboration with the producer.
Plans shooting schedules and monitors production calendars; manages daily operations to meet budget and schedule targets.
Generates regular cost reports, analyzes commitments and forecasts, and adjusts as needed.
Follows up on rights-management activities with production coordinators.
Monitors post?production and delivery to ensure compliance with NFB and industry standards as well as co?production requirements.
Coordinates the photo selection process for each project to meet archival, marketing and other needs, based on current guidelines.
Maintains and optimizes tracking tools (FLOW, Smartsheet) and participates in continuous improvement initiatives.
REQUIRED QUALIFICATIONS
University degree in film production, arts management or related discipline, or equivalent combination of education and experience;
Minimum five (5) years of progressive experience in program or project management and documentary or animation film production;
Demonstrated experience in budget development, resource allocation, schedule control, post?production processes and collective agreements;
Experience using a variety of project-tracking software (e.g., FLOW, Smartsheet) and collaboration tools (e.g., MS Office);
Bilingualism in the official languages (French and English), both orally and in writing.
