is looking for a full-time

Licensing Course Assistant

to join our dynamic education team.

In this key role, you'll be at the heart of our licensing programs--helping individuals take their first steps toward a rewarding career in insurance. You'll coordinate course logistics, support learners through their journey, and ensure everything runs smoothly behind the scenes.

Key Areas of Responsibility



Customer Service & Student Support

Provide timely and professional support to prospective and current students, as well as their employers, via phone and email. Assist with questions regarding course selection, registration, exams, and licensing pathways. Escalate unusual or complex situations to the appropriate person when needed.

Course & Exam Administration

Review and process course and exam registrations accurately using IBABC's internal database. Create and maintain customer profiles. Coordinate logistics with instructors, e-learning vendor, and exam proctors. Proctor in-office licensing exams. Maintain up-to-date records of study material sales, course enrollments, exam registrations, and completions to support accounting, reporting and decision-making.

Materials & Inventory

Process textbook orders and coordinate shipping (e.g., Canada Post or courier services). Maintain inventory of study materials; coordinate printing and assembly as needed. Monitor supply levels for office, kitchen, and mailing needs.

Marketing & Communications

Provide promotional content and updates for licensing programs to support marketing via social media, website, and newsletters. Suggest improvements to course delivery and communications based on learner feedback.

Team Support & Office Operations

Act as vacation backup for other members of the education team. Support general office functions, including photocopier and equipment maintenance. Participate in IBABC events (e.g., trade shows, conferences) as needed - some travel may be required Assist with various projects and administrative tasks as assigned.

Qualifications



High school diploma required; a post-secondary certificate or diploma in administration, education, or business is preferred. Previous administrative or coordination experience in an educational or professional setting is an asset.

Desired Skills



Proficiency in Microsoft Outlook, Word, and Excel. Experience with CRM systems or databases is an asset. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to analyze and prioritize tasks effectively. Reliable, adaptable, and proactive in addressing challenges. Strong attention to detail and accuracy in record-keeping. Collaborative team player who contributes to a positive and professional work environment Prior knowledge or experience in insurance is considered an asset.

Schedule and Location



Monday to Friday, 8:30AM to 4:30PM Hybrid location (minimum 3 days/week in IBABC office)

IBABC represents over 700 property and casualty insurance brokerages that in turn employ more than 12,000 people in approximately 140 B.C. communities.

IBABC provides services to its members, and indirectly to the public, in four key areas: education, membership services, communications, and public affairs.
