The Opportunity

The Banff Centre Library and Archives is looking for a highly organized Library Technician l to work closely with the Manager, Library and Archives. The position is responsible for the purchasing and acquisition functions of the library as well as the maintenance of serial materials and e-resource subscriptions and coordination of inter-library loans.

The Paul D. Fleck Library and Archives has an extensive collection that includes music scores, books, periodicals, audio and video recordings, digital resources, artists\xe2\x80\x99 books and a lending library for Banff Centre Participants, Artists, Faculty and Staff.

Roles and Responsibilities

Reporting to the Manager, Library & Archives, below are some of the key accountabilities:

Front line customer service:

  • Assisting patrons looking for materials on the shelves, or needing assistance with technology, such as the Online Public Access Catalogues, computer workstations, audio/visual equipment, and online databases.
  • Providing reference assistance to library users.
  • Circulation desk duties, including creating patron records, checking items in and out, opening and closing the library, and re-shelving.
Administration:
  • Administration and updating of library Access database which includes tracking and issuing reports on serial subscriptions, e-resource subscriptions, and memberships.
  • Administration of all library records regarding periodical subscriptions, vendor catalogues, purchase inquiries, and binding.
  • Acquisition and control of all serial subscriptions using Access database, including tracking renewal deadlines, issuing payments, and tracking receipt of subscription material.
  • Tracking of missing materials, notification of overdue accounts, initiating billing for missing/lost items.
Purchasing:
  • Purchasing of library and archive materials, book acquisitions, and contacting vendors directly to deal with purchases, returns, credits and disputes.
  • Regularly reviewing, creating purchase orders, and validating all purchases through purchasing card system and retaining accurate, detailed records for all monthly transactions.
  • Compiling the appropriate paperwork (receipts, paid invoices, way bill and packing slips if available) for all transactions.
  • Supervise the shipping and receiving of all library purchases in cooperation with the Shipping and Receiving Department.
  • Use specialized library reference tools to verify vendor websites and research purchasing information.
Inter-Library Loans:
  • Coordination and fulfillment of all incoming and outgoing inter-library loan requests, approximately 250 annually.
  • Tracking of payments and invoices pertaining to inter-library loan transactions and maintaining loan forms and records.
  • Compiling quarterly and annual inter-library loan statistics.
  • Communication with libraries throughout Canada to fulfill requests.
Qualification and Educational Requirements
  • Preference will be given to those candidates with more than one year experience in a library environment and a demonstrated knowledge in the visual and performing arts.
  • Two years post-secondary education or certification in Library Information Technology and Technical studies is desired.
  • Proficient with Microsoft Office (e.g., Word, Excel and Outlook)
  • Have exceptional customer service skills, strong time management skills, organizational skills, flexibility and a high level of adaptability.
  • Must be able to lift boxes weighting 30-50 lbs.
Employment Terms & Benefits
  • In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
  • This position pays between $20.80 and $21.84 per hour depending on experience, working up to 37.5 hours per week on a rotating schedule.
  • This is a term position until March 31, 2024 with the possibility of extension.
