Under the general supervision of the Kelowna Campus Librarian, and in coordination with the Campus Library Assistant, the Circulation Clerk is responsible for circulation desk duties; provides exceptional library service; maintains the collection and local area files; maintains the campus library reserves collections and processes; maintains campus media bookings; assists with handling interlibrary loan (ILL) requests; completes assigned project work; opens, operates and closes the Library. In coordination with the Librarian, Collections & Cataloguing, and the Library Technician, Acquisitions & Serials, processes books, media and other physical library materials; performs serials and acquisitions duties.
Functions and Duties
1. Charges, discharges and renews library materials including circulating laptops and other equipment,
2. Maintains and accesses library accounts and records
3. Assists all library users, including students, employees and the general public by telephone, electronically or face-to-face; handles queries in a sensitive and timely manner and refers to the Campus Library Assistant, Librarian or other resources as appropriate;
4. Helps library users to locate materials, search for information using the online catalogue, research databases, and web search engines, properly cite sources, use library equipment including microfilm/fiche readers, photocopiers and printers and with routine productivity software and institutional computer accounts
5. Collects and records payments, fines and fees; provides change as required
6. Responsible for the overall operation of the library and for library opening and closing procedures when the Campus Library Assistant is not working
7. Processes requests for library material, including sending out periodical articles to library users as required
8. Prepares intercampus deliveries and assigns materials to the most time-effective delivery
9. Assists with the maintenance of the campus library reserves collections (course reserves, online reserves, and class sets of textbook collections) and processes; manages requests from faculty, instructors and librarians to place items on reserve; locates requested materials in OC collections and checks online databases and other sources for digital copies; manages reserve module records in the integrated library system; prepares materials physically for reserve collections; maintains collection inventory; flags student library accounts for overdue reserve items.
10. Responsible for coordinating media booking requests; processes internal media requests; distributes material and notifies instructors; liaises with library staff on other campuses as necessary; assists the Reference and Interlibrary Loan Technician in the handling of interlibrary loan (ILL) requests; verifies ILL requests and selects appropriate locations; requests external media and ILL materials as required; receives, processes and returns ILL materials and notifies patrons as required; provides ILL materials to requesting libraries.
11. Physically processes books, media and other materials for the library collection; applies labels and donations plates; stamps books; inserts security strips; prepares customized labels; prepares pockets, protective covers, and other containers; prepares processed material for intercampus delivery; maintains processing supplies and processing procedures manual; prepares library material for binding; makes minor repairs to library materials.
12. Performs serials and acquisitions duties; assists with serials check-in in the integrated library system; assists with electronic serials maintenance; unpacks acquisitions shipments and verifies shipments against invoices.
13. Communicates library policies to library users

Maintains the photocopier and microfiche/film reader-printer, laser printer, circulating laptops and other library equipment; troubleshoots technical issues and refers to IT Services, as required 15. Assists in maintenance of collections including sensitizing and labeling materials; shelving and shelf reading of materials; preparing boxes and file folders; and assisting with inventory control as required
16. Completes minor emergency repairs; refers other damaged materials to the Campus Librarian for assessment
17. Updates the periodical collection including print and microform, company annual reports and reference publication filing; monitors missing periodical issues and obtaining replacement copies 18. Communicates with Library Technical Services staff on problems related to the collections
19. Maintains local area files; clips and labels local newspaper articles; matches clipping file material with existing subject headings and recommends new subject headings; uses the integrated library system(ILS) cataloguing module to enter new clipping files in the catalogue
20. Promotes library programs and services through production of displays and the creation of guides, handouts and publicity information as assigned
21. When the Campus Library Assistant is not working, runs Banner reports to generate library system notices for library users and removes flags from Banner accounts when library fines or fees have been paid
22. Monitors student employees in the absence of the Campus Library Assistant
23. Issues Okanagan College photo ID to students
24. Performs other duties as assigned
Education and Experience
Must possess a Library Technician diploma. Over 1 year related post-secondary library experience required.
Skills and Abilities
Knowledge of automated library systems
Proficiency with MS Office programs
Preferred Qualifications
Experience working in an academic library is an asset.

Special Instructions to Applicants
This position is a continuing position; however, it does not operate year round. The position generally operates from early September through mid-April each year. However, the exact appointment start and end dates are determined each year. This year, the position will go from early October 4, 2025 (or as soon afterward as the successful applicant can start) to April 25, 2026.
