Vaughan is your place to grow.Position OverviewResponsible for the administrative services of the Council Secretariat division within the Office of the City Clerk. This includes the overall preparation of agendas, processing minutes, formatting by-laws, consolidating extracts, and composing correspondence for public/external distribution respecting Council/Committee directives, utilizing the electronic agenda management system eSCRIBE. Responsible for the overall eSCRIBE maintenance, troubleshooting/escalating technical issues, and providing guidance to staff on the system. Responsible for preparing and publishing meeting videos of all Council and Committee meetings; maintaining both external and internal department web pages.Responsible for managing the Clerks inbox by receiving, tracking, and distributing personal and confidential information. Respond to all internal and external inquiries, search requests, coordinating the signing of by-laws, agreements and other legal documents. Responsible for records management including maintaining and updating meeting calendars, by-law indices and library, extracts library, document execution log, Clerks inbox log, and archiving hardcopy files.Qualifications and Experience
