The Toronto Police Association (TPA) is the voice of the uniform and civilian members, excluding senior officers, of the Toronto Police Service. Established over 85 years ago, the TPA proudly represents over 8,000 active members. The TPA is the largest, single association of its kind in Canada. Nature of the Position



The Legal Services Administrator (LSA) provides all manner of administrative support to in-house legal counsel(s) as well as support relating to legal files as listed in the Job Duties. The LSA manages the call volume and incoming correspondence for the In-house legal counsel and works closely with the Legal Analyst and the Labour Relations department. The LSA is responsible for providing information to members, scheduling and coordinating meetings, preparing agendas/minutes, updating and maintaining files in relation to legal matters, and participating in the coordination of special projects, as required, in the legal department. Focus on timely updates and accurate maintenance of legal files in relation to the many legal matters covered will be key to success in this role.

The work volume can be driven by issues affecting specific members of the TPA and policing in general. Work volume may also be impacted by bargaining, grievances, Special Investigations Unit (SIU) matters, and other legal issues. Considerable tact, diplomacy and the ability to respect and keep confidences is required to project a positive and professional image of the TPA while serving the membership.

Job Duties



Answer calls from members and directs calls to the appropriate area Assist In-house legal counsel in researching, preparing and proofreading correspondence Schedule meetings, coordinate logistics for both in-person and virtual meetings, prepare relevant documents, and attend meeting when invited Prepare and circulate agendas, record minutes of meetings, circulate, and follow up with action items. Prepare expense reimbursement and cheque requisition forms and other forms specific to TPA for legal counsel and directors (as required) Make travel arrangements for counsel(s) and/or directors, where require, following the proper internal procedural guidelines Maintain files both in paper form and electronically, including entry into the member database under the following types of legal matters:
- Criminal

- Civil

- Grievances

- Legal Indemnification

- Human Rights Tribunal Applications

- Inquest

- Special Investigations Unit

- TPA Constitution and other Governance documents

Review Board minutes for follow-up of matters relevant to their portfolio Maintain confidential records and filing system according to retention schedule Maintain calendar of legal dates Communicate effectively and professionally with members and external counsel Perform typical duties inherent to the position, assist Legal Counsel and staff as necessary, other duties as required

Qualifications, Required Knowledge, Education, Skills



This position requires

A minimum of five (5) years of working experience in a legal clerk/administrator/coordinator role Working proficient knowledge in Microsoft Office Suite including Word, Excel, and Outlook Advanced minute-taking experience. Legal area minutes/agendas an asset Strong written and verbal communication skills, critical thinking, and problem-solving skills An aptitude for learning new technologies and use time management strategies Strong planning and organizational skills coupled with an ability to analyze situations and adopt effective courses of action A demonstrated performance history of exceptional customer service skills A strong ability to collaborate effectively in a team environment Ability to manage confidential information with integrity and professionalism Exceptional organizational and file management skill and abilities Post-secondary certificate/diploma or equivalent education, preferable in legal clerk/administrative studies Work experience within a legal office is considered an asset Only applicants chosen to move on in the selection process will be contacted.
