Job Description



The Alberta Civil Trial Lawyers Association (ACTLA) is looking for an experienced and forward-thinking Communications & Event Services Administrator to oversee our print and digital marketing campaigns (including managing our quarterly magazine publication), event services (seminars and webinars), and to build and maintain our stakeholder relations (members, sponsors, advertisers, vendors, etc.).

The Communications & Event Services Administrator will promote a positive public image, manage the dissemination of information to members and public, and execute the promotion and participation of events on ACTLA's behalf.

Phenomenal communications, copywriting, business relations, and time management skills are essential to this role. Experience with Adobe products, Canva, Word, Excel, and generalized project management are important qualities too. Your enthusiasm and positive attitude with help you gain the trust of ACTLA members and external stakeholders alike.

This role is heavily reliant on your ability to build connections, manage people, and present the Association to a varied audience including Legal and Medical Professionals, government representatives, Entrepreneurs, and more. Knowledge of legal subjects is an asset but is not required.

Responsibilities Include, but are not limited to:

• Managing Internal and External Communications (50%)
• Research, develop, and implement communications and event services strategic plan (annually)
• Design and prepare brochures and marketing materials for sponsorship, fundraising, advertising, and events
• Manage ACTLA Social Media channels, including graphic design and copywriting on LinkedIn, Instagram, and Facebook.
• Manage the ACTLA email list, including event updates, speaker announcements, and more.
• Coordinate with Executive to develop additional communications materials as required.
• Coordinate with ACTLA Editorial Committee to solicit articles for inclusion in quarterly publication •The Barrister.• Lead the design of the publication, including ad placements, as Editor-In-Chief, and coordinate physical and digital distribution
• Manage ACTLA Website
• Develop and Execute ACTLA Events (25%)
• Coordinate with ACTLA Seminars Committee to develop themes, speakers, and venues to host ACTLA in-person conferences (2x per year), and webinar offerings (monthly)
• Implement and manage systems to record event data to be used for marketing and planning, including research activity to audit and inform future event decisions
• Identify and utilize financial strategy and negotiations to boost the parameters of an event within a pre-determined budget
• Design event information packages, arrange transportation of event equipment, proofread materials, prepare master event powerpoints, etc.
• Coordinate and host Webinars via Zoom
• Attract event participants and maintain sound and healthy relationships with stakeholders through excellent communications, advertising, and feedback.
• Oversee and process venue bookings, registrations, deposits, refunds, etc.
• Financial responsibilities may be shared with other ACTLA administrative staff accordingly
• Relationship Management (25%)
• Develop relationships with new and existing stakeholders across sponsors/vendors, advertisers, membership, and the public
• Develop and coordinate sponsorship and advertising packages, and ensure that agreements are met
• Negotiate and sell conferences, events, and advertising

Requirements

• Proven experience/education in a related background (marketing, communications, event coordination, sales). Bachelor's degree preferred.
• Ability to build relationships through good communication (written and verbal), including via telephone
• Strong time management and organizational skills
• Excellent time management and organizational skills
• Excellent computer (Microsoft Office, Adobe Creative Suite, Zoom, Canva, etc.), social media, and budget management skills.
• Strong focus on collaborative work and ability to negotiate.
• Knowledge of Legal Profession and previous sales experience considered an asset, but not required. Candidates with a combination of Marketing/Communications/Event/Sales experience are encouraged to apply
