We are seeking a dedicated and detail-oriented Legal Secretary to join our dynamic legal team. The ideal candidate will play a crucial role in supporting the attorney by performing a variety of administrative, clerical, and legal tasks. This position requires strong organizational skills, excellent communication abilities, and a solid understanding of legal terminology and procedures.
Key Duties and Responsibilities
Provide administrative support to the lawyer: manage calendar, schedule appointments, and organize meetings
Answering phone calls, attending client meeting and client preparations
Draft legal documents, correspondence, submissions and reports with accuracy and attention to detail
Conduct legal research using databases like Lexis-Nexis (an asset)
Prepare and submit immigration forms to the appropriate government authorities
Maintain organized and up-to-date client case files (physical and electronic)
Perform accurate data entry of client and case information
Track deadlines using project management skills to ensure timely completion of tasks
Demonstrate professionalism and effective phone etiquette when interacting with clients and other legal professionals
Greet and welcome clients; conduct interviews to gather relevant information for immigration cases
Draft procedural documents and assist with legal pleadings
Respond to and manage emails; handle incoming and outgoing mail
Order office supplies and support general office operations
Maintain strict confidentiality in compliance with legal standards
Perform other related duties as assigned
Required Skills and Experience
Minimum 5 years of experience as a legal assistant, legal secretary, or foreign-trained legal professional with relevant duties
Proven experience in clerical or administrative roles, preferably in a legal environment
Strong writing skills with the ability to produce clear, well-structured legal documents
Familiarity with legal drafting processes and terminology, especially in immigration law
Proficiency in Microsoft Office Suite and legal software tools
Research skills using legal databases such as Lexis-Nexis (an asset)
Excellent organizational and multitasking abilities
Strong attention to detail and accuracy in all aspects of work
Ability to work independently and collaboratively in a team setting
Excellent verbal and written communication skills in English
Good command of spoken and written French
Knowledge of Spanish or a third language is a strong asset
