Responsibilities and Duties
Working closely with the lawyers and other staff to ensure clients are receiving timely and professional responses to inquiries
Managing flow of files pursuant to deadlines, maintaining an independent knowledge of the status of all files assigned
Communicating with clients, opposing counsel, court, other professionals and agents via telephone, email, letter, fax and in person
Drafting of correspondence and reporting letters in accordance with lawyer instructions, and proofreading correspondence drafted by lawyers
Basic drafting of court documents and preparation of final versions including binding etc.
Arranging for service and filing of court documents, locally and out of town
Document management including keeping paper and digital files current and organized
Timely file maintenance including opening and closing files, monthly billing, A/R collection
Administrative tasks including entering and reviewing time dockets; reviewing, preparing and sending accounts at month end
Assignment and oversight of tasks delegated to student assistants and other administrative support staff as applicable

Minimum of Two (2) years of relevant experience as a Family Law Legal Assistant or Law Clerk (preferred)
Post-secondary certificate and/or diploma in Business Administration, Legal Administration, Paralegal, Administrative Services or a related field (preferred)
Demonstrated ability to multi-task, prioritize and manage multiple deadlines in a fast-paced environment in accordance with instructions/process
Strong attention to detail and a high degree of self-motivation
Outstanding interpersonal skills and ability to develop cross-functional relationships
Excellent oral and written communication skills, research and analytical skills
Experience and acuity with software including: the Microsoft Office Suite, Divorcemate, ACL, legal accounting software, document management systems, Zoom, Docusign etc.
Working knowledge of the Rules of Civil Procedure and other various Rules and Acts as required
High standard of integrity, ethics, judgment, dependability, discretion and confidentiality
