Overview


Shaikh Law Firm is seeking a proactive and detail-oriented

Legal Administrative Assistant

to support the day-to-day operations of our busy law office. This is a front-facing, in-person role that combines client intake, administrative support, and light legal coordination, with a clear expectation of long-term commitment.

The successful candidate will work primarily with the Family Law and Real Estate departments

and should be able to manage high volumes of files while maintaining accuracy, efficiency, and professionalism.

This position is best suited for candidates with a Legal Administration, Law Clerk, or Paralegal diploma who are seeking hands-on experience in a structured legal environment.

Experience in Family Law or Real Estate Law will be considered a strong asset.



Key Responsibilities



Greet clients in person and by phone; manage all incoming communications in a courteous and professional manner Handle client intake, explain legal services and fee structures, and assist in maturing potential clients Schedule consultations and manage lawyers' calendars across multiple departments Open, maintain, and close client files (digital and physical), ensuring compliance with Law Society requirements Perform data entry, scanning, printing, and general document organization Prepare routine court forms for Family Law matters (e.g., simple/uncontested divorce applications, Form 8, Form 13.1, etc.)

Assist with real estate file coordination, including ordering title insurance, preparing closing documents, and communicating with clients regarding closing requirements

Record and enter client payments (including Interac and Stripe) into internal systems Coordinate outgoing couriers and prepare mail correspondence Support file opening and closing tasks in Cosmolex practice management software Monitor and maintain office supply inventory Ensure tidiness and readiness of meeting rooms throughout the day Maintain a high level of confidentiality and professionalism in all interactions

Qualifications



Diploma in Legal Administration, Law Clerk, or Paralegal Studies (required)

Minimum 1 year of experience in a legal setting, preferably in family law or real estate law (preferred but not required)

Familiarity with legal software such as Cosmolex or similar practice management tools Strong organizational skills and attention to detail Excellent communication and interpersonal skills Ability to manage multiple tasks in a fast-paced environment
Job Type: Full-time

Pay: $51,337.00-$65,000.00 per year
