Job Summary
Our growing law firm seeks a full-time Real Estate Legal Assistant to join our dynamic team. The ideal candidate will provide comprehensive support to our attorneys specializing in Real Estate with experience in Family Law and Litigation. This role demands a detail oriented and organized individual with exceptional communication and interpersonal skills. Key responsibilities include client communication, document preparation and management, finance (invoicing and accounting), and case file maintenance.
Main Responsibilities
Real Estate:
Manage real estate closings from start to finish including client onboarding and communication, document preparation, liaising with law clerks, banks and lawyers,
Client trust ledger management, accounting, financials
Manage document flow and ensure timely delivery of documents.
Additional Responsibilities
Document Preparation and Filing:
Maintain accurate and organized electronic and physical files.
Assist in the preparation, service and filing of court documents.
Draft correspondence, memoranda, and other legal documents as directed by attorneys.
Client Communication and Support:
Respond to client inquiries and requests in a timely and professional manner.
Schedule appointments and manage attorney calendars.
Assist with client onboarding and ID verification.
Maintain client relationships and build rapport.
Administrative Support:
Manage billing and invoicing processes.
Coordinate with external vendors and service providers.
Assist with office administration tasks as needed.
Qualifications
Experience:
Diploma from a Legal Assistant or related program
Minimum of 2 years of experience as a Legal Assistant (or similar role) in a law firm environment - required.
Experience with Trust Accounting and PC Law, Soluno or similar legal accounting software required
Skills:
Strong organizational and time-management skills with the ability to prioritize tasks effectively.
Excellent attention to detail and accuracy.
Proficiency in Microsoft Office Suite (Word, Excel), Adobe, Gmail and legal software.
Excellent written and verbal communication and interpersonal skills.
Ability to work independently and as part of a small team.
Please note that this job is fully in-office.
