We are seeking a diligent and organized Legal Assistant to support our boutique law firm. The ideal candidate will be responsible for a variety of administrative and clerical tasks, ensuring the smooth and efficient operation of the office. This role requires excellent communication skills, attention to detail, and the ability to handle confidential information with discretion.
Key Responsibilities
File Management
Send and receive faxes, ensuring accurate and timely delivery.
Maintain an organized filing system electronically and physically
Handle the preparation and processing of discharges
Compile final reporting letters and documents
Confidentiality
Manage and protect sensitive and confidential information with utmost discretion
Email and Correspondence
Draft, review and send emails as directed
Manage incoming and outgoing emails
Answer and direct incoming and outgoing phone calls in a professional and courteous manner.
Communicate effectively with clients, other solicitors and banks.
Bank Runs:
Conduct bank runs as needed for firm-related transactions and documentation
Administrative Support:
Provide general administrative assistance, including managing the lawyer's calendar, scheduling appointments and arranging meetings
Open and close client files in compliance with firm policies and procedures
Assist with various other tasks to ensure the smooth operation of the office
Qualifications
1 year minimum experience in an office administrative role (law firm experience is preferred)
Post-secondary education in a legal program or equivalent
Excellent organizational and multitasking skills
Demonstrated skill in prioritizing tasks and meeting deadlines
Strong written and verbal communication skills
Proficiency with office software such as, Microsoft Office, and familiarity with legal document management systems including Quintalink and Unity
Ability to handle confidential information with integrity and professionalism
Reliable and punctual with a strong work ethic
