Legal Assistant, Corporate Secretariat

Job Description


The Legal Assistant will work with a team of Legal Assistants according to general instruction and standardized procedures, to provide assistance and support to the OMERS Corporate Secretariat Law Clerks on all matters related to the smooth and successful functioning of the team, as well as with assisting other OMERS Corporate Secretariat and Legal Division staff members, as necessary.

The strictly confidential nature of many activities will require the Legal Assistant to exercise high co-ordination, judgment and initiative in order to support multiple individuals and complex activities on behalf of the OMERS Corporate Secretariat.

As a member of this team, you will be responsible for:

Working with a team of Legal Assistants to provide administrative support to the team of Corporate Secretariat Law Clerks

Providing a full range of word processing and document production support in editing, formatting, proofreading and printing materials using Word, Excel, PowerPoint and DocuSign

Proactively drafting routine correspondence and corporate documentation using legal precedents

Providing clerical support such as Minute Book filings, in addition to updating or maintaining information and/or documentation in corporate databases according to internal records management policies for both paper and electronic formats

Generating routine database reports, charts and editing organizational charts

Preparing expense accounts, including allocating pre-determined cost codes to accounts and invoices

Maintaining a tickler or reminder system and following up on assigned tasks, as well as a team calendar

Assisting other Corporate Secretariat, Corporate Counsel and Legal Division staff members, as necessary

Handling confidential material with discretion

Working independently with a minimum of supervision

Working with the team to expedite workflow, including prioritizing and coordinating competing tasks and deliverables

Contributing to the Corporate Secretariat group by scheduling meetings and appointments or events and/or presentation materials as necessary

To succeed in this role, you must have:

A minimum of 3 years of experience working in a law firm or office. Corporate experience is an asset.

A degree from a college legal secretarial or legal assistant program

Excellent written and verbal communication skills

Advanced word processing skills such as Word, Excel, PowerPoint and Visio

Advanced working knowledge of EnGlobe and iManage or equivalent database or document maintenance systems

Demonstrated ability to work as a team player, in a professional and courteous manner

Demonstrated organizational skills and attention to detail

The ability to co-ordinate multiple tasks with a high level of initiative and minimum direction or supervision

The ability to recognize issues and resolve or escalate them

The ability to work under pressure, while maintaining professionalism

Experience working as a member of a Corporate Secretarial team is an asset
