Job Description

Position: Leasing SpecialistReports to: Manager, Marketing and LeasingThe role of a Leasing Specialist requires high energy, passion for making a real difference in people's lives and a commitment to anticipate and exceed the expectations of residents and customers.This diverse front-line role combines customer service delivery, sales, and marketing to lease apartments while building exceptional relationships with guests and residents. It is imperative that the Leasing Specialist liaise with residents and the community as a representative of Management.Key Responsibilities:Customer Service:

  • Ensure Greenrock Communities are safe, clean, and presentable at all times befitting an "A" class landlord
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct
  • Professionally and courteously manage all telephone, e-mail and walk-in inquiries from prospective residents and existing residents
  • Greet all residents, future residents and internal team members in a proficient and positive manner
  • Promote a strong sense of community
  • Maintain an overall focus on enhancing the customer experience
  • Act as liaison with other employees. Maintain a positive working relationship with all contractors, co-workers and service providers
  • Communicate with the Property Manager, team members and site staff on an ongoing basis
  • As part of the overall team, maintain goodwill of resident during service period and promote the organization to
  • Consistently focus on providing exceptional customer service
Marketing and Leasing:
  • Encourage appointments or viewings with all prospective resident callers or walk-ins
  • Convert telephone calls to tours, property tours to leases and internet leads to tours and/or leases
  • Conduct viewings of the properties including grounds, amenities, and suites with prospective residents
  • Ensure all prospective walk-ins are provided with a property tour, including suite showings: an appointment is not required
  • Sell the property's products and services to prospective residents in order to obtain a commitment to rent. Focus on selling the benefits
  • Maintain product knowledge of the property, sister properties and competitors
  • Qualify prospective residents to determine their needs; ask open-ended questions
  • Complete follow up with prospective residents
  • Maximize revenue for the properties by renting suites at, or above asking rents, with minimal vacancy loss. Where appropriate rent back-to-back to minimize vacancy loss
  • Actively promote resident referral programs
  • Hold open houses
  • Ensure leasing office, tour path, amenities and general curb appeal of community is appealing
  • Inspect vacant suites daily to ensure rent readiness
  • Inspect upcoming availabilities prior to showing to potential renters. Suites showing in an unsatisfactory condition must be identified as such on the availability listing. Conditions should be reported to supervisor.
  • Complete all information on the Application form; obtain all required documents and rental deposits and conduct credit checks and previous landlord references. Ensure applicable data is entered into the property management software
  • Prepare all lease documentation and arrange for execution by Property Manager and new residents
  • Conduct monthly market surveys and have a thorough understanding of competing properties and current market conditions
  • Review and make changes to the availability each week as directed
  • Regularly review all marketing ads and promptly notify Sr. Leasing Specialist of any required changes
  • Create and regularly maintain online marketing ads (i.e. Kijiji, Craigslist, etc.)
Administration and Reporting
  • Report any and all pertinent feedback is brought to the attention of the Property Manager
  • Complete and maintain a consistent and accurate traffic report in accordance with established policy and procedure
  • Register all prospective residents using a Guest Card
  • Notify all applicants of Landlord's decision regarding the application after completing background checks
  • Encourage approved applicants to participate in pre-offered methods of payment such as on-line rental payments or post-dated cheques for payment of rent
  • Assist with the completion of incoming and outgoing suite inspections and document as required
  • Actively monitor deficiencies in apartments and common areas and notify the appropriate team member for resolution
  • Encourage resident Portal participation and registration
  • Ensure the voicemail greeting is clear, enthusiastic and scripted according to company policy
  • Coordinate reservation of elevators for move-ins and move-outs
  • Assemble and provide move-in packages to new residents
  • Complete routine property inspections as directed by Property Manager
Resident Relations:
  • Develop and maintain first class customer service relationships with prospects and residents
  • Manage and resolve resident concerns
  • Monitor outstanding work orders and constantly communicate with maintenance staff to remedy issues for new residents
  • Assist in planning, organizing and conducting resident functions as needed and as directed by Property Manager
General:
  • Act as liaison with other departments, units or organizations
  • Carry out spot cleaning to refresh apartments, if required
  • Maintain an orderly office area, including proper filing of all documentation and correspondence
  • Be flexible with lunch hours and breaks to be available to prospective residents and appointments
  • Position requires travel for property errands, leasing at sister properties or training sessions
  • Participate in collaborative meetings to enhance the Greenrock standards of property management
  • Ensure adherence to privacy legislation
  • Attend staff and public relations events
  • Participate in Greenrock sponsored philanthropic events
Qualifications:
  • Minimum 3 years progressive experience in a multi-property site management office
  • Commitment to excellence in customer service
  • A positive, upbeat attitude
  • Sales and marketing skills preferred
  • Excellent verbal and written communication skills
  • Fluent in English and other languages would be an asset
  • Strong team player
  • Well organized with ability to prioritize and multi-task
  • Demonstrated reliable self-starter with a high degree of initiative, creativity and flexibility.
  • Knowledge of applicable legislation including Residential Tenancies Act, Privacy Act and the Human Rights Code required.
  • Proficiency in Microsoft Excel and Word preferred, and knowledge of Internet, Email and Social Media
  • Yardi Voyager experience an asset
  • Able to sit and stand for several hours at a time, to climb up and down stairs several times each day, and to lift a minimum of 10 pounds Able to use the hand and arm regularly for writing and/or typing
  • Ability to work any of the seven days of the week, 52 weeks of the year
  • Reliable transportation, valid driver's license
