Leasing & Operations Manage



Job Summary.



The Leasing & Operations Manager is responsible for promoting, leasing, managing tenant experience, as well as overseeing the day-to-day operations, for Martin Group rental properties. This role monitors budgets and implements strategies to maximize occupancy and rental income, while safeguarding the value of the property and delivering exceptional customer service.

Key Responsibilities.



Leasing:



Respond to inquiries regarding rental properties by phone and email.

Show residential, commercial, and retail properties to prospective tenants.

Review lease terms with tenant/clients and obtain signatures.

Residential Leasing

Review rental applications and conduct lawful reference and credit checks.

Approve or decline prospective tenants based on established criteria

Commercial/Retail:

Collaborate with local commercial real estate brokers seeking space for clients.

Negotiate commercial lease terms.

Communicate with maintenance/construction teams regarding fit-ups and required modifications.

Tenant Relations.



Promote excellence in customer service & tenant satisfaction.

Residential

Support superintendents in enforcing Residential Lease Agreement terms and posted building rules.

Address tenant concerns professionally while balancing landlord interests and tenant rights under the Residential Tenancies Act (RTA), 2006.

Ensure that tenant incidents are well documented, including obtaining video footage when available.

Commercial

Respond promptly and professionally to commercial client concerns.

Property Maintenance & Inspection.



Collaborate with the maintenance team including superintendents, to ensure the properties meet company standards for cleanliness, preventative maintenance, repairs, and improvements.

Conduct regular and thorough property inspections to identify maintenance needs and ensure tenant compliance with lease terms.

Respond to emergency events as required.

Financial Management.



Set appropriate rental rates using rental increase guidelines, knowledge of the local rental market, and the property's features.

Oversee rent collection processes and assist with late payment management.

Support the resolution of financial discrepancies.

Legal Compliance.



Residential



Maintain up-to-date knowledge of Residential Tenancies Act, Ontario Human Rights Code (housing related), and Municipal by-laws.

Prepare and coordinate delivery of required RTA legal notices (N4, N5, N12, N9).

Represent landlord at Landlord & Tenant Board (LTB) hearings, mediations, and settlements.

Residential & Commercial



Work with insurance adjusters regarding tenant initiated legal actions (e.g., slip and fall incidents).

Maintain accurate and confidential tenant records.

Administrative Tasks.



Manage lease agreements and other tenant-related documentation.

Monitor move-ins, move-outs, and lease renewals; prepare renewal documentation.

Negotiate new commercial lease agreements.

Maintain records of inspections, maintenance requests, contractor visits, snow logs and other property-related activities.

Document all tenant interactions including, calls, emails, correspondence, and video footage.

Provide superintendents with teaching and guidance on task execution and information management.

Marketing and Promotion.



Develop a marketing strategy for residential, commercial and retail properties.

Market available units and office space through appropriate advertising channels.

Maintain and update company website listings.

Provide professional property tours highlighting features and benefits.

Hiring & Training (Residential).



Recruit & hire superintendents.

Ensure initial and ongoing training for superintendents on:

o WHMIS, Worker Health & Safety Awareness, Workplace Violence & Harassment, and AODA training.

o Standard operating procedures

o Telephone etiquette

o Residential Lease Agreement

o Residential Tenancies Act, 2006

o Property management software

o Professional showing and marketing techniques

o Professional tenant interactions

o Rule enforcement

o De-escalation techniques

o Emergency response

Relationships.



Reports directly to Director of Real Estate & Development. Works collaboratively with building superintendents, maintenance staff, construction teams, and contractors, the Finance Department and office staff at headquarters. Regularly interacts with residential and commercial tenants and their representatives.

Education & Experience.



Post secondary degree in Business Administration, Real Estate, or a related field.

Certifications such as Certified Property Manager (CPM) an asset.

Minimum of 5+ experience in a similar leadership role.

Skills & Qualifications.



Technical & Legal Knowledge



Thorough Understanding of

Ontario's Residential Tenancies Act (RTA)

. Familiarity with the

Ontario Human Rights Code

as it applies to housing. Lease administration (drafting, interpreting, enforcing). Knowledge of Ontario Building Code, Fire Code, and applicable municipal by-laws. Financial management skills including rent collection, expense tracking, and budgeting. Understanding of landlord-tenant dispute processes (LTB procedures). Risk management including insurance requirements and liability prevention.

Operational Skills



Strong recordkeeping and documentation practices. Marketing and leasing expertise including vacancy advertising and tenant screening. Proficiency with Microsoft Office, Yardi Breeze, and Social Media Platforms. Effective time management and prioritization across multiple properties.

Interpersonal & Communication Skills



Conflict resolution and mediation between tenants, contractors, and owners. Strong negotiation abilities. Excellent customer service and tenant-relation skills. Clear and professional written and verbal communication. Ability to handle sensitive information with discretion.

Personal Qualities



Attention to detail with a focus on compliance, safety, and documentation. Adaptability and strong problem-solving abilities. Integrity and professionalism in all interactions. Proactive and preventative approach to operational issues. Resilience during emergencies, disputes, or high-pressure situations.

Job Type: Full-time

Pay: $85,000.00-$110,000.00 per year
