Job Purpose

The Lead Administrative Process Advisor provides continuous facility administration support and improvement of business processes. The role works closely with finance and field operations to promote the alignment of business administration practices with the vision, mission, and values of SECURE.

Essential Duties & Responsibilities

The responsibilities of this role include, but are not limited to:

  • Support company vision, culture, and development of talent
  • Champion, sponsor, and guide administration programs - Short Service Worker, Volumetric Balancing and Management of Change
  • Investigate elevated issues related to the daily, weekly, and monthly administration processes
  • Responsible for routine customer maintenance and monthly timelines
  • Support facility mangers with staffing level, hiring and finding adequate coverage for administrators.
  • Encourage communication and alignment within group and with business customers
  • Travel to field locations as required
Qualifications/Competencies

The individual in this role will have:
  • A minimum 5 years' experience in an administrative lead role providing supervision to a team
  • Intermediate Excel skills
  • Exceptional interpersonal and organizational skills
  • Excellent attention to detail
  • Ability to multi-task, prioritize, and work under tight deadlines
  • Ability to reliably handle confidential information
  • Ability to travel as required
The following are considered assets in this role:
  • Experience with Microsoft AX
  • Certificate or diploma in business administration, accounting, or a related area. Equivalent experience will be considered
Detailed Task Inventory

The following is a breakdown of the Essential Duties & Responsibilities listed above:
  • Oversee ongoing development of Short Service Worker program
  • Complete, assign and review procedures and maintain Short Service Worker and training manuals
  • Continually pursue standardization of procedures and processes across all facilities
  • Ensure training and rollout support is provided for procedures and SSW
  • Develop and support the annual review (audit) process
  • Consolidate information gathered from the facilities annual review to support the creation of the annual roadmap
  • Facilitate the creation and implementation of the SSW program at new facilities
  • Ensure necessary procedures are in place as part of SSW for volumetric balancing
  • Ensure financial audit controls are being followed and met
  • Provide ongoing training and support on volumetric balancing
  • Research needs of the business with key customers (finance, facility admins, managers, GMs)
  • Work with stakeholders (IT and Administrative process) to ensure successful implementation of MOCs - provide business requirements and guidance
  • Regularly communicate with customers and stakeholders on MOC priorities and status
  • Ensure MOC process is used effectively throughout the group
  • Investigate elevated issues related to the daily, weekly and monthly administration process including:
  • Accounts receivable issues
  • Accounts payable issues
  • Problem tickets
  • Reporting issues
  • AX issues
  • Open Invoice issues
  • Responsible for routine customer maintenance and monthly timelines
  • Handle all customer buyouts/amalgamations/name changes in the system
  • Enter facility trade agreements into AX
  • Generate and send out month end timelines
  • Generate and send out month end timelines
  • Support facility mangers with staffing level, hiring and adequate coverage for administrators
  • Ensure data for the tickets per admin report is accurate and made available for finance and operations
  • Work closely with operations on high-level staffing decisions and to proactively raise problems to their attention
  • Support operations and finance to review tickets per admin report and discuss issues/opportunities
  • Play an active role as required by operations in the hiring process
  • Assist with the onboarding process of new administrators and new facility startups
  • Support in planning coverage for facilities
  • Encourage communication and alignment within group and with business customers
  • Liaise with other departments to establish or enhance processes for facility administration
  • Participate in administrative support monthly calls
  • Play an active role in facility receivables reviews where required
  • Travel to field locations for on-the-ground coaching and team development
Location: Local candidates are preferred and remote work potential will be considered for this role.
