Law Clerk and Quota Analyst
The Chicken Farmers of Ontario's (CFO) Law Clerk and Quota Analyst is responsible for providing corporate support to the General Counsel and Corporate Secretary and Legal Counsel and Privacy Officer, as well as managing quota holdings and allocation processes. This role would involve reviewing corporate or partnership ownership documents, conducting real estate title searches and managing the farmer profile, which is a tool by which CFO updates ownership information relating to its farmers. The successful applicant would also provide general support to the legal and regulatory team as necessary.
ROLES AND RESPONSIBILITIES:
Law Clerk
Review and update farmer corporate records in CFO Connects (online farmer portal) database
Review and validate corporate documents necessary to complete quota transfers
Understand and follow CFO policies and procedures
Conduct real estate title searches where required
Correspond with farmers on legal related issues, i.e. corporate or partnership structure, farmer succession planning and quota holdings and rights, and coordinate resolution with legal team
Maintain corporate records for farmers and generate voters lists for the election of Board Directors and District Committee Representatives
Lead district election process, including: membership notice and nomination requirements, secure independent chair, and voting rules
Support legal team in preparing legal briefs for regulatory proceedings
Support General Counsel and Corporate Secretary as necessary
Quota Management
Maintain and optimize farmer records in CFO Connects
Conduct due diligence on farmer transactions related to quota holdings and allocation
Administer transactional data management in response to reorganizations of farm ownership structures
Manage and organize the legal records for quota transfers to ensure accurate and complete records, in accordance with retention policies
Update, revise and maintain board approved policy and regulations
Enforce quota transfer rules and standard operating procedures
Interact with farmers to support quota management processes and administration by providing necessary information and resources as appropriate
Interact with Information Technology team to maintain and update Quota Administration databases
Manage new entrant chicken farmer program including processing applications and organizing the review panel
Manage New Basic Quota Unit grants including ensuring corporate records are up to date to ensure accurate grant of units to appropriate parties
Ad hoc support for Legal and Regulatory Team as required
QUALIFICATIONS:
Formal Education:
College Diploma
Experience:
Minimum 3-5 years' experience as a law clerk
Experience in real estate and commercial law, corporate law or estate planning would be an asset
Experience updating and maintaining corporate records
Corporate secretarial experience is an asset
Experience working within ERP-SAP environments is an asset
Skills and Abilities:
Microsoft Office 365, Adobe Acrobat Pro, DocuSign
Proficiency in Legal search and database software
Excellent verbal and written communication skills
Operate with attention to detail
Ability to manage multiple priorities, work within deadlines
Develop and maintain effective working relationships in a cross-functional environment
Maintain confidentiality
