We are seeking a detail-oriented and motivated Junior Legal Secretary/Office Assistant to join our team. The ideal candidate will provide essential administrative support to the office. This role requires strong organizational skills, excellent communication abilities, and someone who can work independently and take initiative. The Junior Legal Secretary/Office Assistant will play a key role in opening and maintaining files, corresponding with clients, preparing Affidavits of Service and Affidavits of Attempted Service, guiding process server's in their work, other administrative duties as required, etc.
Responsibilities
Assist clients with their requests for Service, preparation of legal documents to be sent out for service.
Corresponding with clients on file progress and updates, this includes phone calls and emails.
Typing Affidavits of Service, Certificates of Service, and Affidavits of Attempted Service.
Guiding process servers with in their work, communicating the clients requests and needs to the process server.
Invoicing and data entry as needed.
Exhibit professional phone and email etiquette when communicating with clients, and other legal professionals.
Perform general administrative duties including filing, copying, and scanning documents, etc.
Qualifications
A Legal Assistant diploma or experience in the legal field is preferred.
Excellent phone etiquette and interpersonal communication skills.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Familiarity with Affidavits and legal documents (Supreme and Provincial)
Time management skills and the ability to work independently in a fast paced environment.
The ability and willingness to learn, adapt and take initiative.
