Job Description

Are you a recent graduate looking for an exciting entry-level position? We are seeking a motivated and organized individual to join our team as a Junior Client Services Administrative Assistant. This is a fantastic opportunity to gain valuable experience in a fast-paced and challenging work environment.

Qualifications:



Excellent verbal and written communication in English

Flexibility, eagerness to learn, strong personal ethics, and a hunger for success

Ability to multitask and problem solve in a fast-paced work environment

Strong organizational and time management skills

Superb attention to detail

Excellent client relationship management skills

Full computer literacy, with Microsoft Office 365 experience (Outlook, Word, Excel, and PowerPoint) and Adobe suite

Self-starter and self-reliant; ability to work effectively with minimal supervision

Responsibilities:



Oversee client onboarding, file opening, conflict checks and drafting engagement letters

Formatting legal documents on behalf of lawyers

Respond to incoming inquiries, directing them to the appropriate team member

Coordinate and schedule calls, conferences, events, travel and meetings

Manage office supply inventory and ensure timely replenishment

Perform document filing, scanning, and printing for organized record keeping

Complete bank, postal, court registry filings and securities deposits

On-site and off-site event planning and management

Process in-person invoice payments efficiently and accurately

Ensuring boardrooms are prepped and common areas remain clean

Distributing client mail

Maintain and update physical and electronic corporate records books, ensuring compliance and organization

Support staff and lawyer onboarding processes

Proficiency:



Segev LLP utilizes the following applications and programs to assist providing services to our clients. Familiarity with the below is a bonus but not a requirement. We are more than happy to teach you the ins and outs of our tech stack.

NetDocuments (Document Management System)

Cosmolex (Accounting and Billing Platform)

DocuSign (E-Signatures)
