Junior Administrative Assistant



Duties and Responsibilities:



Under the direction of the Executive and the Office Manager, the Junior Administrative Assistant answers client calls, and fields general enquiries, is responsible for working on the online database (CRM) and within Quickbooks Online. The Assistant has various other duties and responsibilities as listed below.

Respond to phone calls and emails from individuals requesting estimates. Works on the online database (CRM). There are various deadlines that must be met within 1 business day of receipt of a service request and operator lead. Ensure each client's information is complete and accurate including all information that is required to enable the operator to initiate client contact. Assign client leads to the appropriate operator. Assign daily banking deposits to correct client and operator within the CRM system and within Quickbooks Online. Monitor customer reviews and complaints. Responsible for shipping marketing materials to District Managers and Operators. Drafting letters, emails, and other communications Answering and making phone calls and taking detailed messages; relaying messages in a timely manner Making travel reservations, e.g., hotels, flights, trips, etc. Preparing and maintaining physical and electronic files Uploading documents to various platforms Preparing, completing and updating forms and documents Photocopying, printing, scanning and faxing Other duties as assigned and required by management

Education, Training, Experience and Other Requirements:



Strong, relevant work experience and/or recent education in an administrative related job/course. Excellent communication is imperative as this position is key to the flow of information between Operators and clients. Excellent written communication skills. Strong computer and technical skills including Google Office. Adaptive to ongoing change, flexible, creative and able to deal effectively with transition. Excellent time management skills - the ability to co-ordinate multiple responsibilities, meet deadlines and prioritize your workload appropriately Experience and competence with use of an online database system is a strong asset. Experience working with Quickbooks Online an asset. Experience with Worksafe claims an asset A high level of confidentiality

Work Schedule: 32 hours per week Location: Lantzville, BC
Job Type: Full-time

Pay: $21.00-$22.00 per hour

Expected hours: 32 - 40 per week
