Reporting to the Financial Controller, the Junior Accounting Clerk supports the day-to-day financial and administrative operations of Ferguslea Properties. This role plays a critical part in ensuring timely and accurate financial reporting, effective communication with residents, and maintaining organized financial records. The successful candidate will have strong attention to detail, excellent communication skills, and a commitment to providing high-quality customer service.




RESPONSIBILITIES:





1. Customer Support


Answering calls, responding to resident inquiries, and resolving billing or payment issues. Preparing and sending financial notices and communications to residents. Managing inbound and outbound mail, including opening, sorting, and distributing as appropriate. Maintaining accurate resident information and financial data in Yardi. Ensuring all relevant resident interactions and updates are properly logged. Communicating effectively with residents and internal team members to ensure smooth resolution of accounting matters. Performing other administrative or customer service duties as assigned by the Financial Controller.

2. Financial Duties


Posting and reconciling deposit accounting transactions, including Last Month's Rent (LMR) deposits. Depositing cheques and processing other forms of payment. Recording Non-Sufficient Funds (NSFs) and ensuring related communications are sent to residents. Preparing and maintaining delinquency reports and assisting with collections efforts. Drafting and issuing N4 notices, liaising with legal representatives, and supporting eviction processes. Processing chargebacks, refunds, and related documentation. Maintaining accurate and organized company financial records. Assist in preparing weekly/monthly reports and assist senior staff with monthly and year-end closings. Assisting with periodic financial reporting and data compilation for the Management Team.



SKILLS AND KNOWLEDGE:




Post secondary education or diploma in Accounting, Finance, Business Administration or related field. 1-2 years of experience in an accounting or administrative role, preferably in property management or real estate. Exemplary communications in English, both written and verbal. Proficiency in MS Office (Excel, Word, Outlook). Strong organizational and time-management skills. Familiarity with Yardi or other property management/accounting software is an asset. Understanding of current property management legal and regulatory practices. The ability to work evening and weekend scheduling at times is required. While not mandatory, written & verbal communication in French would be considered a strong asset. High attention to detail and accuracy in data entry and reporting. Ability to work both independently and collaboratively within a team environment. As a condition of employment, must be able to provide a valid criminal background check



WORKING CONDITIONS:




Extended periods at a computer may be required at times. The job description implies the performance of repetitive tasks. Physical effort is minimal. Competing demands may create stress.
